The Projects Coordinator will support the tendering, planning, coordination, and execution of MEP and fabric projects across client sites. Working closely with Head of Projects, engineers, subcontractors, and clients, the Projects Coordinator ensures that opportunities and works are delivered efficiently, safely, on time, and within budget.
Key Responsibilities:
Assist in the coordination and delivery of multiple projects from initiation to completion.
Follow up with clients on proposal status.
Maintain opportunity and project documentation including proposals, quotations, Tender documents, RAMS, programs, schedules, drawings, purchase orders, and permits.
Coordinate with internal teams and subcontractors to ensure works are delivered in line with agreed scopes and specifications.
Attend site meetings, record minutes, and follow up on action points.
Liaise with clients to ensure project expectations are met and communication is maintained throughout delivery.
Track project progress and report key metrics to the Projects Manager.
Support procurement activities including materials, subcontractor services, and equipment hire.
Assist in raising RFIs, managing variations, and updating project costs where required.
Contribute to the continuous improvement of project delivery processes.
Coordinate site access, security arrangements, and issue of permits to work where necessary.
Ensure accurate records are kept of works carried out, including photographic evidence and completion reports.
Experience
Previous experience in a project coordination or administrative role within construction or hard services facilities maintenance.
Good understanding of building services, maintenance practices, and health & safety regulations.
Strong organizational and time-management skills with the ability to manage multiple tasks.
Excellent communication and interpersonal skills.
Good understanding of GANTT charts.
Proficient in Microsoft Office (Word, Excel, Outlook, Teams).
Able to read and interpret project documentation and technical drawings.
Proactive and solution-focused with attention to detail.
Full UK driving licence.
