A bit about the Project Coordinator Role




The primary purpose of the Project Coordinator role is to act for the long term by supporting the planning, execution, and delivery of capital projects that drive sustainable improvements. Take accountability for managing all administrative, logistical, and communication tasks to ensure projects run efficiently and meet objectives on time and within scope. By coordinating resources, maintaining accurate documentation, and facilitating clear communication across teams, this role helps us do better each time and succeed together. Serving as a key link between project managers, team members, and stakeholders, the Project Coordinator contributes to unlocking business potential and achieving successful project outcomes through collaboration and continuous improvement.


Key responsibilities and accountabilities include:

Responsible for supporting the successful planning, coordination, and delivery of site-based capital projects that enhance production efficiency, product quality, safety, and compliance. Working closely with project managers, engineering, operations, quality, and supply chain teams, the Project Coordinator ensures that all project activities are executed according to established timelines, budgets, and quality standards. Implement Continuous Improvements (CI) to the Capital Project Process (EEM - Early Equipment Management process) Influence departmental and site personnel to follow the standard processes. Responsible to ensure all project documentation is updated and filed and stored in project files for compliance and audit ready Coordinate and monitor project schedules, milestones, and deliverables to ensure timely completion. Including liaising with planning team and ensuring all down time requested are captured and communicated to all required teams. Support project managers in planning resources, tracking costs, and managing documentation in line with company and regulatory requirements. Facilitate communication and collaboration between departments (e.g., production, engineering, maintenance, quality, and HSE) to ensure alignment of project objectives. Prepare and maintain accurate project reports, dashboards, and progress updates for management and stakeholders. Assist in the procurement and coordination of equipment, materials, and contractors, ensuring adherence to site safety and quality standards. This includes issuing out new contractor forms to be filled in and storing of all contractor information required. Raise and manage requestion and creation of purchase orders (PO) for capital project engineers. Manage change control and document control processes to maintain project traceability and compliance with food safety and manufacturing standards. Support risk assessments, permit-to-work documentation, and project handover activities to ensure safe and effective implementation. Support and align cross functional to ensure SOP's and Training requirements for projects are implemented and executed. Training & Development Process - Develop an Internal ILU Training Matrix that aligns with the site standard, which can easily manage and identify any internal training gaps. Work closely with the SOP Coordinator to ensure all activities identified on the ILU training matrix have an accompanying SOP. Promote a culture of continuous improvement by identifying opportunities to streamline project processes and enhance site performance Departmental representative on the company CMMS development team. Participates in weekly review meetings to monitor and control CMMS processes. Undertakes all necessary actions related to the management, development and implementation of all aspects relating to CMMS. For example, system detail changes, process changes and main system upgrades. CMMS Super User. - Participate in the development and implementation of CMMS. Assist in the development of the training process and lead the roll out of training to all site personnel. Continue as an active superuser and problem solver, operating at business level within the company superuser team. Management of spend control process - Departmental representative for matters relating to spend control. Responsible for producing weekly capital project spend data for issue to senior management team. Lead processes related to financial control improvements and forecasting. Networks with all finance personnel to provide a service to them and the department to facilitate greater visibility of departmental finances. Workplace organisation and 5S - Responsible for maintenance of high standards in an office environment. Maintenance of capital project Share Point site and update and sharing information for electronic information displays across site on key project updates. Ensure that condition of workplace and installation areas are in line with 5S housekeeping standards.
