Job Description

Assured Bid is a fast-growing tender management and bid support business, helping organisations win public sector and regulated contracts through high-quality bid writing, compliance support, and strategic tender management. Alongside our service delivery, we're scaling our tender management platform and expanding our operational capacity.

We are seeking a highly organised and proactive Project Co-ordinator to support the smooth delivery of client tenders and internal business projects. This role will sit at the heart of our operations--coordinating timelines, managing tasks, tracking deliverables, supporting team communication, and ensuring our work is delivered to a consistently high standard.

This is an ideal role for someone who enjoys structure, thrives in a fast-paced environment, and has excellent attention to detail. You will work closely with senior leadership, bid writers, consultants, and platform contributors to ensure projects remain on track and stakeholders stay aligned.

Key Responsibilities:



Tender & Client Project Coordination



Coordinate tender delivery schedules and ensure deadlines are met across multiple client projects Maintain project trackers for bids, supporting documents, and quality review workflows Support the mobilisation and submission process including document checks and compliance completion Track client requirements and ensure all data and evidence is captured and up to date Support project kick-off and project close-out processes, ensuring actions are logged and completed

Communication & Stakeholder Management



Schedule and organise internal meetings (briefings, reviews, stand-ups) Capture actions, decisions, risks and next steps, ensuring accountability is clear Act as a central point of coordination between leadership, writers, consultants and external stakeholders Provide regular updates to the team on timelines, progress, and approaching deadlines

Project Admin & Quality Support



Ensure that all tender files are organised and stored correctly in the company system Maintain version control and ensure correct formatting of documents before submission Assist with editing, formatting, proofreading, and final checks as required Support compliance with GDPR and sensitive information management

Skills & Experience Required



Proven experience in a Project Co-ordinator / Project Admin / Operations Coordinator / Executive Assistant type role Strong organisational skills with the ability to manage multiple projects at once Excellent attention to detail and ability to work to strict deadlines Strong written and verbal communication skills Confident using project tools (e.g., Asana, Monday.com, Excel/Google Sheets) Ability to coordinate and follow up with multiple stakeholders professionally Strong problem-solving skills and ability to anticipate issues before they impact delivery

Desirable



Experience in bid/tender environments or working with public sector contracts Familiarity with procurement portals such as The Chest, ProContract, Atamis, Mercell, PCS-T or In-Tend Experience supporting remote or distributed teams Knowledge of document management systems and file organisation best practices Understanding of compliance requirements and quality assurance processes

Pay: Up to 26,000.00 per year
