Research and Innovation Services provides support and services for our academics working across the research and innovation lifecycle with a focus on applying for and managing funding, and providing professional advice on collaborations and contracts. The Directorate is comprised of four teams; Award Services, Contract Services, Planning, Insight and Improvement, and Compliance and Assurance, who all work together to deliver a service to support, advise and provide expertise to our academic community for our extensive and varied portfolio of externally funded projects.
About the role
------------------
We are seeking a Project Management Assistant to join us on a 12 month FTC, or secondment for internal staff.
In this role, you will play a vital part in supporting the successful delivery and smooth operation of UCL's European and internationally funded research and innovation projects. Working within the Award Services team, you will help ensure that projects are established efficiently, administered to a high standard, and delivered in full compliance with funder regulations and university policies.
In this role, you will provide high-quality project and financial administration, including supporting grant agreement preparation, maintaining accurate project data, processing financial transactions, and contributing to internal and external reporting. You will also collaborate closely with project managers, academics and external partners, offering practical support across areas such as meeting coordination, document management, and dissemination activities.
The role will also support the broader EU & International team, by helping to set up awards, share guidance with departments, and respond to queries on European and international funding rules. Your contribution will help ensure our community is well informed and able to participate effectively in UCL's diverse and expanding global research portfolio.
About you

To be successful in this role, you will bring a strong foundation in administration, whether gained through previous professional experience or during your studies and an enthusiasm for developing your skills within a research and innovation environment. Experience in a customer-focused setting and familiarity with project or financial administration will be valuable, but we also welcome applications from motivated candidates who can demonstrate the ability to learn quickly and apply new concepts confidently.
You are someone who works methodically and with excellent attention to detail, able to plan and prioritise your workload effectively in a fast-paced environment. Your analytical and problem-solving skills enable you to interpret detailed documentation, manage information accurately, and communicate complex or financial details clearly to non-experts.
A clear and confident communicator, you build positive working relationships with colleagues at all levels and with external partners. You enjoy working as part of a collaborative team and take a proactive approach to delivering high-quality support. Strong digital skills and the confidence to learn new systems are essential. Knowledge of EU or international funding programmes, or experience in higher education, would be advantageous but not essential; most importantly, you bring curiosity, initiative, and a commitment to excellent service.
