Where you shine

We are seeking an amazing Project Manager to join a new PM team, working alongside our SPM and Operations lead, to help drive our business forward. As is the way with Project Management, you will need to be a planning genius, a problem solver, a strategic thinker, a relationship builder, a process optimiser and of course great at herding cats.

Being in at the beginning means that you will have every opportunity to help form how project management integrates across the agency. And to reap the rewards of your input, you will also work with us to enhance our current processes, building a new workflow and resourcing tool, via Smartsheets, to meet the demands of the business and bring clarity and direction for all project-related things.

As a Project Manager, you will play a variety of roles, juggling both individual and multi-faceted projects from initiation to completion whilst coordinating all activities with the agency client team and external vendors. You will have eyes on the big picture, helping us in our goal of delivering game-changing work for our clients.

What your success will look like

  • Partner with Client Services and the wider team to structure and manage integrated projects including
  • Estimating and resource planning
  • Scope management
  • Quality and performance standards
  • Project and issues tracking and management
  • Assessing and managing risk
  • Request, obtain and maintain proper agency documentation to ensure that projects proceed efficiently - briefs, timelines, estimates, wireframes, UX and IA documentation
  • Plan workflow, monitor deadlines and manage multiple projects and accounts at the same time to ensure tasks stay on schedule
  • Assign tasks to agency members in line with brand allocation and urgency
  • Advise where additional freelance resource may be required
  • Advise in good time if team members need to work outside usual working hours
  • Monitor jobs to ensure proper sign-off through Editorial, Creative, Client Services & Studio, in line with agreed process
  • Enforce agency policy and procedures to drive efficiency and compliance
  • Maintain knowledge of client sign-off processes e.g., Veeva/PromoMats
  • Update, maintain and issue daily Hot Sheets/Schedules
  • Attend client and agency status meeting as required
  • Identify new processes where required to optimise productivity and efficiencies
  • Work on developing, building and helping with the launch our new project planning tool
  • Mentor and coach agency colleagues in project management best practice
  • Participate in ongoing development of the PM discipline

Who you are and what you bring
  • Bachelor\xe2\x80\x99s degree
  • 3+ years project management experience, preferably in a creative healthcare agency
  • Recognised PM qualification beneficial
  • Outstanding collaboration and problem-solving skills
  • Strong organisational skills & capable of adapting to changing and demanding deadlines
  • Proactive and self-motivated, with the ability to take the lead make difficult decisions
  • Understanding of the creative process across all channels and output types
  • Experience of different project management methodologies
  • Excellent listening and communications skills
  • Analytical and quantitative skills with ability to analyse data and participate in financial management of accounts with minimal supervision
  • Work effectively with all departments to manage flow of projects through agency
  • Change-management experience would be beneficial
  • Knowledge of workflow/project management tools, in particular Smartsheet
