We are seeking a detail-oriented and proactive Project Administrator to join our dynamic team. This role is essential in ensuring the smooth operation of various projects by providing administrative support and coordinating project activities. The ideal candidate will possess strong organisational skills, excellent computer proficiency, and a commitment to delivering high-quality work.
Responsibilities
Administration & Project Support
Be aware of project targets and the wider strategic objectives of the organisation and assist in working towards these.
Provide general administrative support to project delivery teams, including correspondence, filing, and reception duties.
Support project delivery with scheduling, logistics, and documentation.
Manage diaries, meeting arrangements, and staff schedules.
Take minutes at staff meetings and distribute theses in a timely manner.
Assist project staff with preparing reports and maintaining project files.
Ensure smooth day-to-day operations across the organisation.
Data Monitoring
Maintain accurate monitoring data for all projects and services.
Ensure data is collected, stored, and managed securely in line with data protection and GDPR policies.
Input and manage information using spreadsheets and databases.
Support reporting and compliance requirements.
Assist with project evaluation and produce basic summary reports.
Support production of presentations for staff, funders, and stakeholders.
Communications & Promotion
Act as a first point of contact for enquiries providing a friendly, professional service.
Assist with preparing letters, emails, newsletters, and project updates.
Contact beneficiairies about project sessions or other updates via phone, email and messaging.
Posting social media content and responding to comments and messages.
Support the promotion of activities, services, and events via digital and printed materials.
Maintain accurate contact lists and stakeholder records.
Help raise awareness of our projects and services across the community.
General Office Support
Provide general office administration, including filing, mail handling, and supplies management.
Support colleagues to ensure the office runs efficiently and professionally.
Represent the organisation positively at all times
Understand and adhere to all policies and procedures
Maintain personal and professional development at all times
Undertake appropriate training as required
Undertake such other duties, training and/or hours of work as may be reasonably required, and which are consistent with the general level of responsibility of this role.

Pay: 9,828.00 per year
