Job Summary
The Project Support Officer will provide high-quality administrative and coordination support across multiple projects and programmes led by Community Matters. The role is essential to ensuring smooth delivery of day-to-day project activities, supporting the team through effective planning, logistics, and communication.
The role of project support officer includes expert advice and support to the projects and programmes, including operational delivery of defined project activities. The key functions of this role are:
Administrative and Logistical Support
Arrange and coordinate meetings, including scheduling, booking venues, arranging catering/refreshments, and preparing agendas and minutes.
Maintain accurate records of discussions and decisions, and follow up on agreed actions.
Support with organising training sessions and liaising with trainers and participants.
Ensure key project documentation is up to date, well organised, and accessible.
Project Coordination
Support project planning and implementation to ensure timely delivery and achievement of key milestones.
Develop action plans that identifies tasks, owners and realistic deadlines.
Monitor project progress and contribute to status reports for internal and external stakeholders.
Support with risk and issues tracking and escalate concerns as needed.
Stakeholder Engagement
Identify, engage and liaise with project partners, commissioners and wider stakeholders.
Use communication and influencing skills to build relationships and support project delivery.
Represent Community Matters in meetings and consultations where appropriate.
Finance and Reporting
Monitor project budgets and liaise with finance teams to track expenditure.
Support accurate invoicing and ensure timely payments to suppliers or partners.
Provide financial updates to project leads as required.
Key Working Relationships
The post holder will be required to:
Develop and maintain effective and constructive working relationships with internal and external stakeholders, project sponsors, commissioners and contract managers within the project, as well as service-based officers and 'professional' support services (HR/Finance etc).
Support the implementation of assigned projects; collate and provide data and information as required.
Represent Community Matters and any relevant contracting organisation in communication and consultation with relevant stakeholders. This may require negotiation both internally and externally, and involve supporting the resolution of complex problems and conflicting priorities using tact and diplomacy.
Support implantation of project-monitoring systems that will provide accurate and timely information about projects' progress.
Present information and issues, explaining highly complex issues to a wide range of internal and external stakeholders.
Report regularly to Senior Project Support Officer, providing credible, accurate and timely information.
Raise any developments, issues or new risks that could impact on projects, or pose a risk to Community Matters or the contracting organisation.
Recognise, identify and seek new business opportunities for Community Matters.
Functional Responsibilities
Project Support
Support project boards and steering groups by organising meetings, including setting meeting dates, booking venues, taking professional and accurate records of discussions, monitoring the completion of actions, and chasing members to ensure they complete actions they own.
Support the programme managers to undertake detailed project planning to ensure projects are delivered on time and to budget, and deliver their anticipated benefits.
Support measuring projects' impact and ensure lessons learnt are fed back into a process of improving the way projects are developed and delivered.
Support programme managers for effective risk management and issue resolution for projects.
Ensure key project documentation are updated with appropriate version control systems, and kept in an accessible and agreed format.
Manage a risk and issues tracking mechanism and its proactive resolution and escalation processes.
Work with providers to investigate the causes of any variance from target/plan and proactively contribute to the implementation of solutions.
Financial and Physical Resources
Provide regular reporting on the targeting of resources and monitoring their implementation from a value for money perspective.
Monitor project budgets, and in the event of deviation recommend appropriate remedial measures.

Qualifications /training
ESSENTIAL: Project management qualification/ training or equivalent relevant experience
