Job Description

We are seeking a highly motivated and organised individual to provide project and office administrative support across all Screen South projects and office operations, alongside personal executive support for the Chief Executive Officer.

This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. You will need to be able to adapt quickly and professionally to the needs of the organisation and cope well with a range of demands.

Overview of Job Duties



Personal Assistant Duties



Assist the Executive PA in managing the CEO's schedule, meetings, and travel. Attend planning meetings with the CEO to ensure clear communication and coordination.

Project Support



Provide administrative and logistical support across Screen South's projects and programmes. Assist with event coordination, participant engagement, and data collection. Maintain and upload monitoring data to Arts Council England's platform. Create templates and compile impact reports for stakeholders and funders. Support leadership with project reporting and funding bids. Help manage production projects, including scheduling, applications, and events. Arrange logistics for staff and events, including travel and accommodation. Contribute to environmental responsibility initiatives by collecting and reporting data.

Office Administration



Deliver front-of-house reception services and manage communications. Maintain filing systems and coordinate diaries to avoid scheduling conflicts. Support financial and HR tasks, including invoicing and purchase orders. Assist with equipment coordination and digital hub administration. Help manage website content and contribute to social media content creation.

Essential requirements:



Excellent written and verbal communication skills Excellent organisational skills with an ability to prioritise and schedule workloads Ability to manage multiple priorities in a fast-paced environment Experience of providing administrative and office management support, including processing, invoicing, diary management and report writing Excellent understanding and working knowledge of Microsoft Outlook, Word and Excel Experience of successful project support and production support Knowledge and experience of JotForm, Canva, and Mailchimp, Buffer, Adobe
This is a full-time contract based on 35 hours per week. Some evening and weekend work will be required.
