Job Description

Winkworth Leamington Spa are seeking a confident, organised, and proactive Office Manager / PA to the Director to support the smooth day-to-day running of our operations and provide high-level assistance to the Director.

While ideally looking for a full time candidate, Winkworth Leamington Spa would consider the right candidate who is looking at a reduced hours contract to suit other commitments.

Role Overview



As the Office Manager / PA, you will be at the heart of the office, ensuring seamless coordination between teams, clients, and suppliers. You will support the Director with administrative and organisational tasks, client onboarding, office systems management, and marketing coordination. This role requires someone with excellent communication skills, a strong sense of initiative, and the ability to manage a varied workload in a fast-paced environment.

Key Responsibilities



Client / Job Management

Register new clients (vendors and landlords) and applicants (buyers and tenants) using the Reapit database. Book market appraisal and viewing appointments. Prepare client documentation, including Confirmation of Instructions and Terms of Business. Produce Memorandums of Sale and coordinate communication with buyers, sellers, and solicitors. Facilitate anti-money laundering processes (for low to medium-risk cases) in collaboration with compliance teams. Establish and maintain trusted client relationships to streamline onboarding. Manage fee invoicing, assist with debt collection, and liaise with Head Office Accounts.
Marketing

Prepare high-quality property brochures. Support the Director in coordinating local marketing and advertising initiatives. Liaise with print suppliers to produce marketing materials.
Office Management

Oversee the maintenance of office systems, including database management (Reapit), filing, and inventory tracking. Support day-to-day operations, ensuring the office runs smoothly and efficiently. Provide team support for administrative duties as needed.
Team & Diary Management

Manage diaries for the Director and team members. Schedule internal and external meetings, viewings, and team catch-ups.
General Administration

Answer and field calls professionally in line with Winkworth's customer service standards. Respond promptly to emails, internet leads, and post. Implement process improvements to enhance office efficiency. Coordinate with clients, suppliers, and other departments as required. Carry out ad-hoc administrative tasks to support the wider team.

Personal Attributes



Experience & Qualifications

Previous experience in a similar administrative, office management, or property-based role is highly desirable. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint). Good typing speed and accurate data entry skills.

Hours: 9-5:30/Monday to Friday
