To provide comprehensive support to the Property Manager, Airport Tenants and internal customers giving particular focus to the effective management of the Property Asset portfolio along with administration of general property facilities/services including the billing process.

Principle accountabilities



Act as Asset Delivery Co-ordinator for Property department ensuring all Property Assets are adequately maintained and recorded as defined within the GLA Asset Management Policy. Manage the process for Normal Risk Health and Safety Inspections of tenanted property and common areas ensuring corrective actions required are completed within designated timeframes. To support the Airport Property Manager on the co-ordination and inspection of High Risk Health and Safety Inspections of tenanted property and take the lead role in reporting corrective actions and ensuring actions are completed within designated timeframes with the support of the Airport Property Manager as required. To ensure that administration/documentation of all High and Normal Risk inspections are undertaken as per guidelines within the Property/Retail Inspection Local Operating Procedure. To work with the Airport Property Manager in relation to property contracts to ensure that all tenant companies at GLA are operating with a signed contract in place and that this contract is recorded within GLA contract database. Manage all entry, exit, audit, and dilapidations within the Property area to ensure that all activities are fully compliant with Lease terms. This to include notification of tenant changes to utilities providers and Business Rates advisers etc. Be responsible for all general activities and administration associated with management of property portfolio, including processing Wayleave applications, issue Disruption Notices, notification tenant changes, Permit2Work approvals, purchase orders, attending meetings and other administrative duties required. Laise with business rates consultant to ensure that information is provided for both the tenanted and vacant property, to minimise GLA liabilities. Read and process utility meter readings to ensure accurate invoicing of the utilities income line.

Responsibilities:




Responsible for planning, organising and running GLA Property Fire Evacuation programme ensuring that any Recommendations/Actions highlighted are recorded and closed. To manage annual Property Insurance programme for all airport properties ensuring that where appropriate, Tenants are re-charged and all building/properties are adequately insured. Support the Property Manager in the overall management of the Airport Property Billing system to ensure all Leases are invoiced on any Lease changes as required. Act as first point of contact for any tenant queries or queries including utility disputes. To prepare invoices and co-ordinate dispute resolution of any other income streams as required by the company. Act as first point of contact with property tenants for dissemination of Airport information to ensure that all information is fully understood and acted upon, as appropriate. To participate in specific projects and/or working groups to carry out any other duties that may be required by the company.

Qualifications and experience



Previous experience in a Property Administrative / Facilities Management role desirable but not essential. The Property Assistant must be self-motivated with excellent communication and interpersonal skills. Microsoft proficient. Good organisational administration skills.
