Due to our sustained and organic growth over the past 9 years, we're now seeking a Property Maintenance Manager to join our growing team -- someone who can combine their incredible communication skills with a proactive, customer-focused approach.
Role Overview
Based in our Bishop's Stortford office, you'll be responsible for overseeing all maintenance operations across our portfolio. You will ensure that properties are maintained to the highest standards, managing proactive and reactive works, liaising with all relevant stakeholders, ensuring cost effectiveness and compliance with all relevant regulations.
You will play a key role in maintaining Virtus's reputation for quality and reliability, acting as the primary point of contact for maintenance issues and ensuring all work is completed efficiently, cost-effectively, and to specification.
Key Responsibilities
Manage day-to-day maintenance operations across residential and commercial properties. From receiving calls / e-mails / letters / site reports, appointing contractors, getting quotes, checking works to communicating with stakeholders.
Whenever possible identfying issues proactively before they become costly breakdowns reported to us by clients.
Coordinate and supervise external contractors, ensuring work meets company, legal & TPI standards and budget requirements.
Manage the day-to-day operations of residential or commercial properties, ensuring high standards of maintenance and tenant satisfaction.
Oversee maintenance tasks, including lifts, access control, CCTV, lighting, landscaping, plumbing, roof & building structural, decoration, carpentry and electrical systems.
Supervise contractors, providing leadership and guidance to ensure all work is completed to a high standard.
Develop and implement property management strategies, including budgeting and project management for renovations or improvements.
Maintain accurate records of property operations, including financial reports, maintenance schedules, and tenant communications.
Conduct regular inspections of properties to identify maintenance needs and ensure compliance with all relevant regulations.
Liaise with tenants regarding their needs and concerns, resolving issues promptly to maintain positive relationships.
Conduct property inspections as required and report on condition, compliance, and remedial actions required as well as checking works have been carried out to the correct standards
Work with our inspection contractor that undertakes property inspections to ensure inspections are properly carried out and any additional work is delegated to them within their remit.
Respond promptly to reactive maintenance requests and emergencies.
Manage maintenance budgets, quotations, and procurement of materials and services.
Ensure all maintenance activities comply with statutory regulations, health and safety requirements, and company policies.
Work closely with Property Managers, landlords, and tenants to resolve issues efficiently and professionally.
Maintain accurate maintenance records and reporting through the company's management systems.
Contribute to sustainability and cost-saving initiatives across the property portfolio.
Skills & Experience Required
Excellent organisational, project management and problem-solving skills (essential).
Exceptional communication (written & verbal) and interpersonal abilities, with a customer-first mindset (essential).
IT literate with strong skills across Office 365 applications, Word, Excel and PowerPoint and evidence of competence with company / industry software system in previous roles (essential).
Full UK driving licence required (essential).
Ability to operate under pressure of conflicting demands with different stakeholders (essential)
Familiarity with mechanical systems, electrical experience, and general maintenance practices (desirable).
Proven experience in a property maintenance management or facilities management role (desirable).
Technical knowledge of building systems, maintenance procedures, and compliance standards would be beneficial (desirable).
Experience managing contractors and maintenance teams (desirable).
Sound understanding of UK building regulations and health & safety legislation (desirable).
Relevant trade or building services qualification (desirable).
About you
You love being organised and are very comfortable with multiple projects running concurrently.
Whilst the role is obviously to manage properties, success is entirely dependent on your ability to manage, console, motivate, negotiate, feedback and challenge a broad range of stakeholders including tenants, leaseholders, contractors, insurers, lawyers, property developers, freeholders, suppliers etc.
You have an uncanny knack for dealing with tricky clients; listening to them, explaining the situation clearly, agreeing the next steps and delivering them to the agreed timescales.
Your communication skills of the highest order will set you apart. This is not an e-mail based role, face to face communication and phone calls are how we make things happen.
