Job Description

We are looking for a Property Manager Assistant (Block Management) to join our expanding team.

This is an office-based role in Wokingham, Berkshire. You will be required to travel for site visits.

As our business undergoes expansion, we find the need to bolster our team with a newly created position.

We are seeking a proactive and highly organised

Property Manager Assistant

to support both our

Senior Property Managers

and

Senior Accounts Managers

in delivering high-quality residential block management services. You will play a key role in supporting day-to-day operations, financial administration, resident communications, and compliance across the portfolio.

This is an excellent opportunity for someone looking to grow a career in block management or property accounts, with potential progression and support toward IRPM or property finance qualifications.

Key Responsibilities



Resident & Client Support



Assist with handling queries via phone, email, and digital portals Issue and track access devices (keys, fobs, parking permits). Upload correspondence, documents, and notices to resident portals and systems. Send holding replies and ensure enquiries are professionally managed through to resolution. Support by preparing reports, correspondence, and meeting materials.

Financial Administration (Supporting Senior Accounts Managers)



Assist Senior Accounts Managers with service charge, ground rent, and insurance charge administration. Process resident payments in line with company procedures, including card payments over the phone. Help prepare financial reports, budget summaries, arrears lists, and payment schedules. Support invoice processing, supplier payment runs, statement updates, and account reconciliations. Assist with organising and distributing financial communication such as service charge demands and reminders.

Repairs, Maintenance & Contractor Management



Log, assign, monitor, and close work orders within the property management system. Book routine and statutory inspections (LOLER, EICR, fire safety, water hygiene). Follow up with contractors regarding outstanding works and performance updates. Maintain compliance documentation, inspection logs, and certification records.

Insurance & Legal Documentation



Support insurance renewals by collecting relevant information and communicating with brokers and clients. Upload, distribute, and accurately file insurance schedules, certificates, and policy documents. Assist with Section 20 consultation documentation and bulk mail merges.

Meetings, Reporting & General Administration



Assist with AGM and residents' meetings, including preparing packs, taking minutes, and distributing documentation. Support Property Managers with report writing, site inspection records, and action logs. Review, assign, and respond to tickets raised via resident portals.

Experience & Qualifications



Experience in administration, customer service, property management, or accounts administration desirable but not essential. Understanding of UK leasehold, block management, and service charge processes beneficial. Strong IT competence, including Microsoft Office

Skills & Competencies



High-level organisational skills and strong attention to detail. Clear verbal and written communication with residents and colleagues. Ability to multitask and meet deadlines in a high-volume environment. Professional, calm manner with a client-focused attitude. Strong teamwork skills; comfortable supporting both operational and accounts functions.
