To provide comprehensive administrative support to the Property Services repairs team, ensuring the smooth and efficient delivery of responsive repairs, voids, and major repair services. The role plays a key part in maintaining accurate records, managing materials and fleet logistics, processing financial transactions, and supporting job scheduling.
Working closely with Team Leaders and Planners, the Repairs Administrator helps coordinate operatives, monitor performance, and uphold service standards. This role is essential in enabling the team to deliver a high-quality, customer-focused, and right-first-time repairs service that meets compliance, safety, and value-for-money objectives.
Key Accountabilities
1 To raise, monitor, and close repair orders using the housing management & repairs system, ensuring all job details are accurately recorded and updated to support real-time performance tracking and reporting.
2 To code repair orders accurately for financial tracking, ensuring alignment with budget codes and cost centres, and supporting monthly reconciliations and audits.
3 To reconcile supplier and contractor invoices, verifying against purchase orders and delivery notes, and liaising with finance and procurement teams to resolve discrepancies.
4 To maintain up-to-date fleet records, including servicing schedules, MOTs, insurance, and driver documentation, ensuring compliance.
5 To coordinate with operatives and external providers to ensure vehicles are roadworthy and available, arranging servicing and repairs as required to minimise vehicle downtime by co-ordinating live breakdowns and repairs.
6 To order and manage materials and supplies in line with job specifications and budget constraints, ensuring timely procurement and efficient stock control.
7 To track deliveries and allocate materials to jobs, ensuring operatives have the correct resources on-site and minimising delays to service delivery.
8 To liaise with suppliers and the stores team to manage stock levels, process returns, and resolve supply issues, contributing to efficient inventory management.
9 To assist in scheduling and allocating repair jobs, working closely with planners and team leaders to ensure operatives are deployed effectively based on skills, availability, and job priority.
10 To monitor job progress and update systems, ensuring accurate status tracking, timely completions, and clear communication with residents and internal teams.
11 To communicate with residents and stakeholders, confirming appointments, providing updates, and responding to queries in a professional and courteous manner.
12 To maintain accurate records and produce reports on repairs performance, job completion rates, material usage, and compliance metrics, supporting operational reviews and service improvement.
13 To support audits, inspections, and compliance checks by preparing and providing relevant documentation, system data, and evidence of process adherence.
14 To respond to internal and external queries, including those from operatives, residents, suppliers, and colleagues, resolving issues or escalating appropriately to ensure service continuity.
15 To assist Team Leaders and Planners by:
Preparing and updating operative schedules and job boards.
Supporting the administration of subcontractor and supplier orders.
Assisting with the collation of performance data and KPIs.
Helping coordinate toolbox talks, training sessions, calendars and one-to-ones.
Providing administrative support for Out of Hours repairs and follow-on works.
Provide administrative assistance with correspondence with residents regarding access.
