The Role:

Redpath Bruce Property Management are currently recruiting for a new team member to work with our property managers who are responsible for a diverse portfolio of properties.

The successful applicant will be responsible for ensuring that back-office administration support for developments is running smoothly, including instructing contractors and , ensuring appropriate services are in place.

The position could suit someone from a property related role ( previously a property manager looking utilise their skills in a back office based role) , or from a strong customer service background in facilities management who is keen diversify .

This role is key to the successful delivery of our common management services and client engagement, across a variety of residential properties including, large residential developments, tenements and grounds managements. The ideal candidate will have a good IT skill, excellent organisational and people skills, together with the ability to successfully engage with a team of staff across varies departments and handle customer queries in a positive manner.

The Role will involve the following key support duties:



Scope of role

To support a team of Property managers who have an allocated portfolio of buildings, providing efficient and accurate administrative and day to day property management.

Key Responsibilities:

1. To carry out various property management tasks as required or directed.

2. To assist Redpath Bruce to implementing Company policies and procedures to an agreed standard

3. To participate in Company-wide initiatives both internally and for external clients.

4. Ensure an efficient service is delivered in a timely manner whilst understanding Redpath Bruce objectives and priorities. Ensure that Company policies and procedures are consistently applied to required standards.

Property Portfolio Support role



Oversee day to day administration support related to the management of properties, i.e. raising common repairs, owner sales, new owner packs, following up on estimates, liaising with contractors as instructed by Property manager. Oversee day to day., remedial., contracted and cyclical maintenance administration and system updated of contracts and warranties.

Administration support the project management of major internal and external works. Manage hard and soft copy data, including e-mails and ensure all client files are updated. Deal with as directed queries verbally and in written form. Assist with the issuing and collection of relevant fees and Common Charges. Manage information relevant to the role effectively, year-end accounts and agreed client statement process to ensure that timescales are met and review accounting information to ensure accuracy. Assist with the portfolio arrears levels and work closely with our in-house Credit Control team to instruct credit control procedures. Assist and support as directed, insurance claims - processed efficiently and correctly (in conjunction with the appropriate member of staff or independent insurance broker). Circulate approved information to residents concerning management issues. Assist Property managers to ensure that all circular & client correspondence including newsletters ensuring that communication is regular and accurate. Assist Property managers to ensure Health & Safety requirements are managed and appropriate safety checks are actioned in conjunction with relevant contractor or service provider and recommendations implemented accordingly.

Hours and Environment



Office based role - 9am to 5.00pm. Monday to Friday. However, you may be required at times to work additional hours.
