Job Summary & Purpose



The role of the Purchase Ledger Clerk is to provide a professional and efficient service to the Finance function, monitoring the value owed to suppliers and ensuring that the purchase ledger is free from omissions and providing accurate financial information to the Financial Controller as required.

Responsible for assisting with the whole purchase ledger process, including invoice processing and supplier statement reconciliations.

Key responsibilities



Checking all purchase invoices; from approval to matching, coding and checking before entering them onto the appropriate ledger.

Setting up of new supplier accounts and maintaining existing account details.

Check and enter all purchase invoices onto Sage/Paperless.

Reconcile all purchase ledger statements to Sage prior to payment, identify and trace missing invoices in a timely manner.

Assist with supplier payment runs.

Assist with weekly sub-contractor payments.

Assist with monthly Trade creditors reconciliation exercise.

Other Duties

Assist with all invoicing issues, address them to the relevant managers, and follow through to resolution.

Manage workload to ensure invoices are processed according to defined timescales.

Demonstrate initiative and problem-solving ability e.g. identifying duplicate payments, incorrect address details etc.

Act as the point of contact for purchase ledger related enquiries, managing these to resolution with a professional manner.

Create and distribute reports to managers as scheduled or upon request.

Communicate effectively with other members of both the Finance, and wider team.
