The Role





As the Purchasing Coordinator you will serve as a pivotal link in the supply chain, overseeing the end-to-end order fulfilment process to guarantee the prompt and precise delivery of goods and services. This dynamic role requires close collaboration with suppliers, proactive shipment tracking, swift resolution of delivery challenges, and seamless communication across internal departments and external projects sites. The Purchasing Coordinator plays an essential role in the successful execution of all GBE Converge Group purchase orders.




Duties and Responsibilities




Ensuring all orders are correctly documented and fulfilled within designated timeframes Coordinating and monitoring deliveries to construction sites and operational facilities, ensuring secure and timely arrival Maintaining comprehensive procurement logs and delivery records to support auditing, compliance, and project tracking Serving as the primary liaison between suppliers, contractors, and internal teams regarding delivery schedules and logistics Addressing and resolving shipping-related issues such as delays, damage, or incorrect deliveries with urgency and professionalism Collaborating with logistics providers to schedule, track, and optimise shipment processes Tracking order statuses using internal ERP systems and proactively communicating updates to relevant stakeholders Organising site access and unloading arrangements to prevent disruptions to construction timelines Providing timely and accurate delivery updates to project managers to ensure alignment with commercial milestones Performing other responsibilities as assigned by the line manager to support departmental and project goals

Person Specification




Essential




Excellent communication skills both verbal and written Excellent internal and external customer service skills Excellent attention to detail Quick thinking to implement alternative solutions to keep projects on track Experience of delivering action plans to resolve issues and remedy disputes Be able to meet challenging deadlines in a fast-paced work environment An excellent knowledge and experience of MS Excel and MS Word Excellent organisational skills Excellent time management, prioritisation and decision making skills The ability to work independently



Desirable




Familiarity with procurement processes, vendor management, and logistics Knowledge of project timelines, milestones, and the importance of aligning delivery schedules with build phases Experience in working within cross-functional teams on large-scale projects Proficiency in relevant tools like inventory management software, ERP systems, or project tracking platforms

Working Conditions





The Purchasing Coordinator role will be working in our open plan office in Gloucester. The role requires flexibility in working hours and may involve evenings or early mornings. There will be long periods of working in front of VDU's with regular breaks.
