We have an exciting opportunity for a new Swimming Manager join and lead our swimming programme.

We are looking for Qualified Swimming Teachers to manage and oversee the Qualitas Swimming Programme for schools.

This job description sets out the role and responsibilities of a Swim Manager employed at Qualitas Sports Ltd. It identifies a range of general and specific technical duties you are required to undertake and be responsible for whilst employed in your job role.

Summary:

The swim manager's role is to oversee all of the products delivered over 5 swimming facilities. The swim manager will work with the senior community managers to help facilitate all school and swimming sessions.

Duties and Responsibilities:



Product Manager



Events

Effectively organize, lead school cluster regional finals for all clusters.

Liaise with Community Managers to make sure all events dates and appropriate documents have been sent to the school in plenty of time for schools to prepare. will be combined (See Events Calendar) with another cluster, please liaise with the other Community Managers.

Liaise with Community Managers to make sure schools that have qualified for regionals have been informed of specific dates.

Send out PDF's and risk assessments for the regional events takin place over the year.

Send out reminders/event instructions 3/2/1 week before the regional event.

Organize staffing for the events and inform coaches of their station and run through of the day via email/WhatsApp 1 week before.

Collate equipment for regional events.

Create a mini report and event video to be sent to head teachers/PE Coordinators.

Make sure all Community Managers individual events are set with an agreed format and template and delivered at a high quality.

Investigate any complaints made by schools and collate/retain for promotional purposes of positive school feedback pertaining to event outcomes.

Book in with Business Administrator Event dates for the following year and distribute to the community managers.

Finance/Rota

- Update a working document with all cluster performances and share with the commercial manager.

- Highlight any areas of weakness and include commercial managers & appropriate community manager in plan of attack.

- Check all expenses for full time member of staff every month.

- Collect the weekly rota at the end of the week.

- Monitor each clusters profit and loss per half term.

- Set out the Rota for all community management & full-time staff each half term to make sure their hours are to the expected levels.

- Liaise with community managers weekly regarding updating the rota based on issues with coaches.

- At the end of the week collect an up-to-date Rota and send labor to the Business Administrator.

- Send over proposed offering for each school to the commercial manager.

School Product

Develop new school products along side community manager.

Develop business plans and additional documents for new school products in line with suggestions from schools.

Research new school needs and funding pots to target products needed.

Liaise with Community managers and product leads and create reports on each community's delivery of products as well as further opportunities.

Liaise with Quality Assurance on the performance and development of coaches.

Investigate any complaints made by schools and collate/retain for promotional purposes of positive school feedback pertaining to sporting activities.

Overlook the recruitment process making sure coaches have been inducted correctly.

Create a consistency of school product over each community.

Full Time Sport Coach

Meet with Full Time sports coaches every fortnight to discuss performance in schools.

Build in a set structure for Sports Coaches with additional roles and responsibilities which might entail linking in with other managers within the business.

Work with the full-time sport coaches to develop progression plans and pathways through the business.

Before the term starts, make sure all coaching hours are adhered to in the job description.

Business Development and Relationship Opportunities



In Schools



Develop plan of attack for new schools. Which schools to target and why?

Use contacts within your cluster to gain opportunities in partner/schools close in location.

Develop a needs analysis of your cluster to portray its strengths/ areas for growth.

Maintain a record for each school of what Qualitas products they have utilized and outline a pattern of use which will inform their spending habits

Be aware of how many units your cluster averages a week.

Have an in-depth knowledge of Qualitas Products in order to upsell products

Grow and foster relationships with likeminded small businesses to create potential partnership opportunities.

Meet/speak to all pe coordinators in individual clusters every half term.

Arrange for quality assurance lead to check the quality of delivery in schools and meet with appropriate leaders in schools to discuss feedback.

Each half term review start and end dates for products for schools via email to pe coordinators/headteachers.

Arrange feedback meetings with schools to discuss products delivered and further improvements in products. Discuss with findings with line manager.

Promote new products with community of schools and follow up on interest. Discuss with line manager for support.

Communicate with schools which coaches will be leading sessions within schools, alongside safeguarding and DBS information.

Formulate links with schools, targeting currently schools needs and potential for further products. Discussion with line manager and contracts managers on further opportunities.

Develop a plan for new school targets and links to discuss with line manager and contract manager.

Make sure school's are aware and have access to Qualitas PE curriculum, 3i's document and Assessment Tool.

Send out 'Good Newsletter' at the end of each term outlining the highlights of each term.

Plan and deliver 5 headteacher CPD meetings throughout the year, working collaboratively with other cluster managers to present this.

School Coaches

Outline expectations of schools and delivery when entering schools.

Ask coaches for feedback on the session and report any issues.

Record mistakes made by coaches within the cluster and confirm solutions with line manager.

Make sure all coaches attending schools have Qualitas kit before attending sessions.

Work with other Cluster Managers to develop best practice of methods that will provide schools with the strategy, opportunity and expertise to improve sporting provisions.

Manage a cluster rota to make sure coaches are delivering a quality service in each school.

Send out completed rota pre half term to schools, ensuring they know which coach is coming in and their DBS number and the times and dates of sessions are confirmed.

Ensure a daily rota is communicated to staff using the platform WhatsApp and any changes to be prioritized immediately that working day.

Ensure you are working collaboratively with other cluster managers and keeping SM, GM and MD informed of any key changes to cluster/staff/rota.

Ensure coaches have session plans for the half term.

Plan and deliver CPD sessions to Qualitas Sport Coaches to improve the standard of teaching in PE.

Internal Responsibilities

Maintain an average coaching hour as agreed with products manager per half term.

Support sports and fitness participants to set, make progress and achieve fitness, new skills, improved personal performance and motivational goals identified by in liaison with Qualitas management and school staff

Attending/participating in mandatory health & safety, first-aid training

Maintaining CPD professional knowledge and understanding in line with national governing body coaching/instructor requirements.

Make sure Rota is up to date by Friday of each week so labour can be calculated for the completed week.

Liase with the Contracts Manager regarding planned products being delivered in schools to assist in the correct invoices being sent to the appropriate schools.
