The Real Estate Department requires a Real Estate Assistant within the Technical Services Team, to support the Real Estate Sustainability team reporting to the respective Real Estate Manager.



Working in the Technical Services Team, you'll play an important role in the supporting of the Sustainability Team alongside the wider Technical Services Team.



The role will report into the National Real Estate Manager for Sustainability and will efficiently support the day-to-day operations. The final scope of the team is ever changing with the business changes and so flexibility and embracing change will be the key to success for any applicant.

Your New Role:



Provide a comprehensive and professional support service to the National Real Estate Manager for Sustainability. Develops and maintains positive working relationships with external parties and service providers - including utility providers. Arrange and manage meetings, including agendas and minute taking. Is responsible for all regular departmental reporting and ad hoc reporting requirements - including financial. External and internal parties ensuring an ongoing understanding of current issues, proposing/ taking action where appropriate. Ensures all correspondence is treated in the strictest confidence. Checks invoices for utilities, and in any other area of responsibility, following company procedures. Maintains an efficient and well organised filing system for the area of responsibility. Manages the direct leader's diary, where required, and is aware of their movements. Ensures that a polite and professional manner is maintained in all internal/ external communications. Contributes positively and constructively to the National Sustainability team and the National Real Estate Department. Provides cover for colleagues where necessary. Provides general administration, word processing, data entry and filing support to the direct leader. Assists in the development and maintenance of efficient systems and documentation. Assists the direct leader in preparation of reports, presentations and materials. Communicates with business partners, as directed by the National Real Estate Manager. Supports the direct leader in building and managing relationships with independent third parties.

The ideal candidate will have:




An understanding or experience within utilities. A professional approach with a high level of discretion and integrity. Exceptional levels of organisation and time management. Proactive / reactive ability, able to prioritise a high volume of tasks. Positivity, drive and self-sufficiency. A willingness to take responsibility, a flexible and pragmatic approach, and a clear desire to hold others to a high standard. Excellent listening and interpersonal skills, also able to communicate clearly and confidently to have a positive influence on others. Able to synthesise a high volume of statistical data and make it accessible to others.

About You:




Previous experience in office administration. PA duties experience. Diary management experience. Experience in invoice processing and tracking including reconciliation. Advanced Microsoft Excel and data analysis experience (e.g. Pivot tables). Highly analytical with the ability to identify and solve problems. Understanding of utilities and billing. Tracking of budgets and expenditure. Contract and supplier management. Building strong internal and external relationships. Strong numerical skills. Strong attention to detail. Able to work to tight deadlines. Strong written and communication skills. Flexible to business requirements.

Desirable:




Previous work experience in Real Estate or Utility setting. Strong negotiation skills. Office management experience. Experience with Building Management Systems. Familiarity with Service Channel and / or a background in facilities. CAFM system experience. Experience with SAP Business Client and associated add-ons (e.g. Ariba).
