Role: Receptionist / Administrative Support

Location: Virginia Water

Report to: Office Manager

Hours: Full Time - Monday - Friday - 37.5 hours per week.

Required Qualifications, Skills, and Experience:



Trained on a modern telephone system and with experience in a professional office environment.

High standard of interpersonal and communication skills, especially in the context of client care.

Polite and presentable always. Ability to deal with highly private and confidential documents. Strong organisational skills. Good IT Skills, Knowledge of Microsoft 360, training on our Case Management System will be provided. Clear and polite telephone manner. Ability to work as part of a team. Experience in working in a legal firm as a receptionist desirable.

Role:



The primary role of a receptionist in a legal firm is firstly to process all incoming telephone calls in a polite manner with no undue delay and in a courteous and helpful manner. To receive client to the office in a friendly and polite manner and informing the individual they are to see in a timely manner, if the fee earner is in a meeting, offer the visitor refreshment. There is a high degree of responsibility to always project the image and ethos of the firm.

Main responsibilities:



The effective processing of all incoming telephone calls including the logging of calls and the conveying of detailed messages in a timely manner.

Dealing with all visitors to the reception area.

To deal with the collection, collating and franking of outgoing post.

To make refreshments for visitors.

To ensure the tidiness of the reception area and the kitchen.

To undertake other clerical and administrative duties as may reasonably be required from

time to time such as photocopying etc.

To ensure the confidentiality and security of the firm's and client documentation and information.

Carry out AML checks on behalf of the fee earner and support as and when needed.

Stationery supplies - keeping a log of supplies and inform the Windsor office if stock is running low to be ordered.

Ad-hoc administrative support as and when needed.

Keep record of daily register on Reception, inform Office Manager if anyone has called in sick or is working from home.

Book meeting rooms on behalf of the Virginia Water team.

Scan post to the fee earner if their support staff is out of the office and the fee earner is working from home.
