Role: Receptionist/ Business Support

Location: Chesterton, Newcastle Under Lyme, ST5 6BN

Remuneration: Dependant on experience and skill set with good earning potential.

Working hours: 8:30 - 17:00 Monday to Friday with one 30 min break. 40hrs a week

We are looking for an individual to join an extremely dynamic company who strive to achieve efficiency in their workflow and systems. The successful candidate will have an important role in handling a high volume of direct interactions with visitors, creating a welcoming front of house atmosphere and a positive first impression.

Summary of the role:

Answering the switchboard and directing, screening, dealing with calls.

Co-ordinating meetings including diary maintenance, calendar inputs, booking meeting rooms, greeting and liaising with visitors, setting up the meeting rooms (equipment and lunches), and arranging visitor collections where required.

Arranging training, uploading and filing certificates, updating the training matrix, uploading TBTs/ RAs and SOPs to employee training records, PQQ for suppliers and contractors, COSHH for new products.

New starter set up, adding holidays to BC and generating KPI reports.

Document control - uploading drawings and reports.

Registering new project enquiries and updates, providing monthly enquiry figures.

Petty cash, purchase orders.

General admin duties including arranging couriers, post office visits, packing products, filing, photocopying, scanning, uploading, printing etc. Adding suppliers and contacts onto BC.

Ensuring the office equipment is maintained and serviced accordingly - i.e. printers and kitchen equipment etc.

Purchase ordering of office equipment and supplies.

Placing supermarket orders for food and cleaning products. Managing the stationery stock levels including printer consumables, business cards and letterheads.

Booking national and international travel for senior members of the team when required.

PA to the Managing Director inc. processing expenses.

General cover and admin support to colleagues where needed.

The suitable applicant will:

Have previous reception and administration experience.

Possess a strong interpersonal, communication and organisational skills. They will be friendly, welcoming and be able to handle customer interactions effectively.

Be proficient in the use of Microsoft Office Suite. (Experience in using Business Central and SharePoint would be beneficial but not essential.)

Be able to plan and prioritise workload, have an excellent attention to detail and produce the highest quality of work.

Use their own initiative, work autonomously and as part of a team.

Have hands on approach to problem solving and decision-making skills.

Have excellent writing skills, gather, interpret information and present numerical data.
