Job Description

We are looking for a highly organised and proactive

Receptionist & Operations Assistant

to support the effective running of the front-of-house of a growing veterinary clinic.

This role is well suited to someone early in their career who enjoys interacting with clients and pets, creating structure, improving processes, and solving problems as they arise. You will work closely with veterinarians and the wider team to translate client and patient needs into clear actions, ensuring tasks are completed efficiently, accurately, and promptly.

This role requires initiative, quick thinking, strong organisational skills, and the ability to work independently within defined responsibilities. This position is ideal for someone with a university degree in

business, marketing, or another structured field

, who is keen to gain hands-on experience in a dynamic environment.

Key Responsibilities



Oversee reception operations, including appointment booking, diary management, and telephone handling Manage incoming client enquiries via phone, email, and veterinary apps Respond to a high volume of emails (approximately 20-30 per shift) Liaise with veterinary surgeons to resolve client queries and follow up on care Ensure all client and patient accounts are settled after consultations or discharge Manage insurance claims from submission through to approval and payment Liaise with B2B partners to book appointments, handle enquiries, and resolve issues Track payments, debtors, and insurance claims on a daily basis Maintain a clean, organised, and welcoming reception area at all times Deliver a consistently high standard of client experience Identify opportunities to improve front-of-house and administrative processes Support the Practice Manager with administrative and organisational tasks, acting as their gatekeeper for calls/emails, preparing documents, and handling escalations

Essential Skills & Experience



Proven experience as a receptionist or in a customer-facing role Excellent written and verbal communication skills Maintain a consistently professional and polished appearance appropriate for a front-of-house role Strong organisational skills with the ability to design and maintain effective processes Excellent problem-solving skills and the ability to think quickly Confident user of Microsoft Excel (including formulas), Word, and Google Docs Ability to improve existing systems, not just follow them Comfortable managing multiple workstreams and shifting priorities Ability to work across teams and follow through on actions independently Comfortable managing insurance claims and discussing payments with clients Experience supporting or supervising staff is an advantage
