Purpose
To provide a professional, efficient, and welcoming front of house service for visitors, suppliers, and staff, while supporting the wider administration and HR team with day-to-day office and administrative duties. The role ensures the smooth running of reception operations and contributes to the overall efficiency of the business.
Role and Responsibilities
Act as the first point of contact for all visitors and incoming calls, ensuring a professional and friendly welcome.
Manage the reception area to maintain a tidy, safe, and organised environment.
Sign in visitors, issue passes, and ensure adherence to site security and health & safety procedures.
Handle incoming and outgoing post and deliveries.
Manage meeting room bookings, prepare refreshments, and set up rooms as required.
Administrative Support
Provide general administrative assistance including data entry, filing, scanning, and photocopying.
Support HR and management with document preparation and correspondence as required.
Maintain office supplies and stationery levels, placing orders when needed.
Assist with document control and record-keeping in line with GDPR and company policies.
Support the coordination of company communications, noticeboards, and staff information updates.
Update spreadsheets, databases, and internal systems accurately and promptly.
Support Finance team, data input, filing and other ad hoc duties.
General
Support the wider business with ad-hoc projects and reporting tasks.
Uphold company values and promote a positive, professional image of the business at all times.
Role Requirements
Proven 2+ years in an Reception/administrative role
Professional attitude and appearance
Proficient IT competencies, including Microsoft Office, Word and Excel
Understanding of a safe/confidential working environment
Fluent English language, both verbal and written
Willingness to enhance induvial knowledge in areas of development
Knowledge of Canva is desirable
Personal Attributes
Excellent communication both verbal and written
Strong organisational skills and attention to detail
Ability to be resourceful and proactive when issues arise
Ability to build rapport and trust with co-workers at all levels
