Receptionist/Administration Officer
Job Summary
To be the first point of contact for people contacting the Daisy Programme
To provide efficient and effective administrative support for Daisy Programme services to people who have experienced or are experiencing domestic and sexual abuse.

To work in accordance with best practice and within the policies and procedures of Daisy Programme.
Responsibilities
Reception
To provide the first point of contact for new clients coming into service, professionals, contractors, and the public
Communicate by telephone, email, social media or face to face with clients, practitioners, contractors and other agencies
Establish if people wanting support meet the criteria for Daisy Programme services and where not, refer or signpost to suitable alternatives
Collect client details and refer to Client Support Officers for initial assessments
Provide phone cover and face to face cover for office
Supervise contractors and other visitors
Maintain Daisy Programme social media platforms
Administration Support
Provide accurate recording of Daisy Programme activities and case records on Daisy Programme Case Management System
Run reports on Daisy Programme activity for project and internal reporting using data collected from Daisy programme systems.
Co-ordinate the delivery of group sessions by advertising courses, liaising with clients and facilitators, issuing joining instructions and booklets and collating impact information.
Provide support for counselling by maintaining waiting lists, arranging clinical assessments, allocating clients according to availability, collecting feedback and evaluations and updating records
Send information, forms and weblinks to clients at point of referral or as instructed by service delivery team.
Take minutes and issue agendas for internal meetings
Help maintain Daisy Programme database of external organisations
Create confidential and up-to-date service user records using Daisy Programme client database.
Provide support for Daisy Programme financial processing, fundraising initiatives, risk assessments, premises and equipment records, and HR administration
Liaise with external contractors and landlord regarding premises and equipment issues
Arrange induction and eLearning for new starters and archive records for leavers
Maintain safeguarding training and DBS records for all staff and volunteers
Provide administration of TimeTastic platform for leave and absences
Support Management and Trustees by taking minutes of meetings, updating risk registers, strategic plans and chasing outstanding tasks
Be responsible for file archives and GDPR compliance
Act as an administrator for Microsoft 365 and SharePoint
Carries out basic IT functions setting up laptops and equipment for staff
Internal and External Liaison and communication
Communicate positively with colleagues and promote Daisy Programme values and ethos across the organisation.
Check and arrange for office sundries and supplies to be ordered
Attend and participate positively in relevant meetings, training, supervision and appraisals.
Promote the work of Daisy Programme modelling a high standard of professional behaviours, including on social media.
To undertake all other reasonable tasks requested by the management team.
Qualifications:

Skills and experience
At least two years' experience in a customer facing role, preferably with vulnerable people, and experience of providing administration within a service organisation
Administration
Have a proven track record of delivering high quality administration and possess excellent IT skills, with experience of MS Office and online communication platforms, such as Zoom. Please note these will be tested at interview.* Have experience of providing administration within a service organisation
Be a strong team player and have the skills and ability to build and maintain positive relationships with colleagues and external partners
Have the ability to deal with changing priorities and unique situations and respond effectively to these seeking to resolve issues promptly
Be accurate, with good attention to detail
Communication
Strong communication skills and experience of engaging sensitively with victims and/or vulnerable people including people who are distressed or upset
Be able to greet callers, take messages and respond to enquiries with a warm empathetic professional manner
Have good written skills and the ability to present information clearly and take minutes of meetings
Have experience of social media
