Position: Medical Aesthetic Reception and Administrator
Clinic: Dr. Tanja Phillips Medical Aesthetic Clinic
Location: Silchester, Berkshire
Days: Monday, Tuesday, Wednesday, Thursday, and Friday ( 3 days working 9:00am - 5:00pm and 2 day working 10:00am - 8:00pm) and 1 Saturday every 4 weeks (8:00 am - 1:00 pm)
Hours: 41.5 hours a week

Role Overview:
We are seeking a personable, positive and organised Medical Aesthetic Receptionist to be the first point of contact for our patients. This role involves supporting the patient journey from initial inquiry through to bookings, payments, and aftercare support.
As the first point of contact for many of our patients, you'll play a crucial role in delivering seamless, professional care, ensuring every call and enquiry is handled with warmth, efficiency, and in line with the clinic's values.
You'll handle patient enquiries, provide accurate information about services, and manage communication efficiently. You'll also support administrative functions, such as sales campaigns, creating treatment plans, invoicing patients, and taking bookings.
This is a rewarding role for a confident communicator with excellent telephony, organisational, and multitasking skills who thrives in a fast-paced, patient-focused environment.
What You'll Do:
Answer and manage incoming calls with professionalism and warmth.
Handle enquiries via phone, SMS, email, and in-person and provide information about products, services, and appointments.
Maintain up-to-date and accurate patient records.
Appointment Management: Schedule, confirm, and manage patient appointments efficiently.
Managing patient quotations to ensure patient plans are created and sent out in a timely manner.
Payment Processing: Manage billing and payments, provide invoices, and ensure billing and payment accuracy.
Patient Support: Assist patients with pre- and post-treatment instructions, provide necessary documentation, and address any concerns.
Support sales with outbound call campaigns and lead follow-ups.
Participate in clinic meetings, contributing ideas to help the patient journey run smoothly.
Assisting the team to complete specific audits, to ensure we maintain CQC compliance.
Qualifications:
Essential -
Excellent verbal communication and telephone manner.
Strong active listening and written communication skills.
Friendly, professional, and confident approach with patients and colleagues.
Experience in customer service, hospitality, reception or a call centre environment.
Strong organisational skills and attention to detail.
Ability to multitask and prioritise effectively in a fast-paced setting.
Proficiency with apple and general IT applications (Word, Teams, Excel).
Ability to work collaboratively and independently.
Commitment to patient confidentiality and GDPR principles
A can do attitude and a solution finder, friendly, professional, and patient-focused.
