Job Description

We are currently in search of a person who is experienced in delivering excellent customer service, maintaining professionalism and discretion at all times and able to work both independently and as part of our dedicated team at Wickham Market Medical Centre.

Applicants are expected to be flexible in providing holiday and sickness cover for other reception staff in addition to their own working rota. The cover may also be required at times at our branch site in Rendlesham. We are committed to maintaining a high standard of patient care and customer service in a friendly and professional environment. Reception experience and knowledge of primary care would be an advantage but not essential as full training will be given.

Wednesday 7:45- 12:30



Thursday 7:45- 18:45 (half an hour lunch break)



Friday 7:45- 17:30



These hours will be worked across our Wickham Market and Rendlesham surgeries, at times it may be required to travel between sites.



Duties & Responsibilities

The duties and responsibilities to be undertaken by members of the practice reception/administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Business Manager, dependent on current and evolving Practice workload and staffing levels:

- Working closely with our PCN colleagues and assisting with managing and implementing centralized systems

- Aim to achieve business objectives, uphold business values and attain personal goals.

- To be flexible and are expected to provide holiday and sickness cover for other reception staff in addition to your own working rota.

- Opening up/locking-up of Practice premises and maintaining security in accordance with Practice protocols.

- Processing personal information to accurately book appointments, visits and ensuring callers are directed to the appropriate healthcare professional.

- Processing and distributing incoming (and outgoing) mail.

- Accurate record keeping when taking messages and passing on information.

-Filing and retrieving paperwork.

- Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.

- Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover.

- Advise patients of relevant charges for private (non-General Medical Services), accept payments and issue receipts for the same.

- Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures.

- Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers.

- Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning.

- Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter.

- Sending recalls when due to patients using the system efficiently and correctly.

- Management of patient record movements.

- Ensuring stock required is added to the order list and the staff room stock is replenished.

- Be adaptable to new systems becoming available and used in the surgery.

The Practice is comprised of two busy surgeries in East Suffolk - Wickham Market Medical Centre and Rendlesham Branch Surgery, both providing a full range of NHS services to almost 10,000 patients. Wickham Market is a purpose-built surgery with a pay & display public car park and Rendlesham is sited next to a free public car park.

Pay begins at 12.21 per hour, increasing after probationary period is complete.
