We are looking for a proactive and detail-oriented

Recruitment & Administrative Assistant

to support recruitment and HR processes within the University. The role involves coordinating recruitment activities, preparing advertisements and contracts, arranging interviews, processing pre-employment checks, and managing onboarding and probation processes.


The position is set to commence

ASAP

and will be full-time for an

initial duration of 12 weeks

with a pay rate of

14.98 per hour + holiday pay



Key Responsibilities:



Recruitment



Liaise with Recruiting Managers to design and implement recruitment activities for specific posts, preparing advertisements and job descriptions, ensuring that all key elements are included and liaising with Recruiting Managers on recruitment dates as required. Advertise all vacancies through the appropriate media and ensuring that University and Immigration requirements are complied with. Arrange short-listing and interviews with the interview panel in a timely manner and liaise with Recruitment Panel members Keep up to date with changes on right to work and visa legal guidelines, and help prepare information for work permit applications as required Process pre-employment checks, references, security checks and Occupational Health checks Prepare offer letters and contracts. Set up new starters/process transfers on PeopleXD (previously CoreHR) Complete the appropriate procedures for new starters' induction and probation.

General Administrative duties


Complete all monthly payroll changes accurately and on time, ensuring that the correct cost centres are used and adhering to the University's deadlines and procedures. Maintain HR data on the PeopleXD (previously CoreHR) system in accordance with GDPR Run ad-hoc reports as and when required. Undertake ad-hoc projects as directed

Other duties


Participate in a regular Annual Review Undertake any necessary training identified Comply with health and safety regulations

Selection Criteria:



Educated to GCSE standard or equivalent Proven administrative, planning and organisational skills, consistently meeting agreed objectives and taking personal responsibility for getting things done Good customer care skills including the ability to communicate effectively with people at all levels both in writing and verbally and to deliver excellent service Ability to prioritise and remain calm while working in a busy, sometimes pressurised environment Good IT skills and proficient in the use of computer packages ideally Microsoft Office: Word, Excel and Outlook Experience of working with databases (ideally PeopleXD - previously CoreHR) and entering data accurately Ability to foster excellent working relationships with key individuals and departments across the line managers, employees and the public Ability to work supportively and collaboratively within a team as well as alone, exercising good judgement and using own initiative to find solutions Able to demonstrate good numeracy skills, attention to detail and accuracy Ability to work confidentially and with discretion
