We are looking for a friendly, proactive, organised, and resilient person to join our vibrant Bristol-based mental health charity working with adults, children, young people, and families. We are currently recruiting for maternity cover for our Referrals Co-ordinator role.

Role purpose



The primary role of the referrals co-ordinator is to manage the referrals and client appointment system, ensuring an efficient and smooth running service.

Key responsibilities



Communication with clients



To provide an efficient and approachable service to clients as the first point of contact for client enquiries and referrals via telephone, email and website into BPS (Bridge Psychotherapy Service). This includes psychiatric assessments, group appointments, autism assessments and parent consultations, as well as individual therapy. To signpost clients to other agencies as appropriate. To be responsible for managing a waiting list in an efficient, sensitive, and thoughtful way. To provide excellent communication and organisational skills at all times, and to treat all clients in a non-judgmental manner. To be prepared to respond sensitively, calmly, and appropriately to clients who may be distressed, upset or angry - on the phone, and occasionally in person.

Administration and procedures



In conjunction with the Operations and Finance Manager, and Lead Clinician, follow and monitor appropriate administrative processes to ensure streamlined management of referrals allocations and appointment for all BPS services. To maintain a clear record of all contacts with clients. In conjunction with the Operations and Finance Manager and Clinical Lead, to be responsible for offering allocated appointments to clients via email, phone and SMS, and to co-ordinate responses and liaise with therapists. To be responsible for following up email and phone message enquires on the answer machine and message book, and to liaise with therapists around communication from ongoing clients. To send out appointment letters and other information to new clients - or to liaise with other administrative staff to do this.

Meetings



To attend regular team meetings and staff meetings as required To attend 1:1 supervision and annual appraisals

General



To provide some annual leave cover for the other members of the Professional Support Team To share some office duties and responsibilities, which includes having some flexibility to cover holidays and absences e.g. due to sickness, and supporting with the maintenance of the physical environment. To cover the office one evening per week. To respond to general enquiries to The Bridge Foundation. To ensure that patient confidentiality is maintained in respect of personal information in accordance with The Bridge Foundation's confidentiality policy. Ensure effective and safe personal practice. Participate in relevant internal and external trainings. Establish and maintain professional working relationships with staff of The Bridge Foundation. Other tasks as directed by the Operations and Finance Manager or other member of the Senior Management Team.
