ABOUT THE ROLE
Variety is looking for a Regional Administrator to join our Northwest team. The role is the main point of contact for all general enquiries to the North West and Midlands office from all Variety stakeholders and other Variety offices. The role includes the administration of the office, the committee operating in NW and Midlands. The Administrator will support general fundraising activities and events, as well as act as an ambassador for the Charity at all times.
Core Functions Include:
General admin support of the North West and Midlands office and staff
Supporting in admin of events, including creating PowerPoints, Word documents and Excel sheets.
Supporting financial records by tracking all income and expenses/payments;
Raise invoices and purchase orders;
Working closely with the Finance Department and North West staff to ensure smooth operation of all finance matters for the branch.
Maintain an accurate filing system at all times;
General office duties, including answering the phone, upkeep of stationery supplies and stock control of merchandise;
Organise meetings and produce agendas for the meetings, attend the meetings and take minutes;
Receive and distribute all minutes to relevant parties;
Keep records of all Stakeholders, Committee members, volunteers, local contacts and supporters in the database (Salesforce)
Coordinate Variety Great Days Out activities with schools, including planning events hosted by Variety or distributing tickets donated to Variety, conducting risk assessments (in liaison with the VGDO Manager in London);
Assist in coordinating the planning and delivery of fundraising events and such as ticket sales, guest information, table plans, auction and raffle arrangements, printing and merchandise, brochure and flyer design, attend and assist on the day, banking donations/ income, thank you letters, etc;
Assist in maintaining relationships with sponsors, asking for logos, helping with PR and social media posts and delivering good brand management.
Maintaining key relationships with Variety Volunteers and supporting where necessary.
Prepare information/ copy for news articles and event information for website, ensuring information online is always up to date, informing the Digital Media Manager (London) of any updates to be made.
Occasionally working from Manchester-based office as well as travelling to meetings in the Northwest and Midlands, and sometimes London.
Must be able to drive and have access to own car.
This role will require a DBS check.

SKILLS, KNOWLEDGE AND PERSONAL ATTRIBUTES
Essential
Proven experience in administrative support roles.
Experience in financial administration, including raising invoices and tracking income/expenses.
Familiarity with event coordination and logistics.
Excellent organisational skills with the ability to manage multiple tasks and priorities.
Strong IT skills, proficient in Microsoft Office (Word, Excel, PowerPoint).
Ability to maintain accurate records and filing systems.
Confident in minute-taking and preparing agendas.
Strong attention to detail and accuracy in all work.
Clear and professional verbal and written communication skills.
Ability to build and maintain positive relationships with stakeholders, volunteers, and sponsors.
Comfortable liaising with internal teams and external contacts.
Self-motivated and able to work independently as well as part of a team.
Flexible and adaptable, willing to travel occasionally (North West, Midlands, London).
Professional, reliable, and committed to delivering high-quality support.
Desirable Criteria
Experience using CRM systems (e.g., Salesforce).
Knowledge of charity sector operations and fundraising activities.
MAIN BENEFITS, TERMS AND CONDITIONS
25 days holiday pro-rata (we also normally give between Christmas and New Year off, but this is not contractual). In addition, after one year's continuous service, there will be an extra two days annual holiday for every complete year of service, up to a maximum of five days' extra holiday.
Pension ER contribution 7%, Life Assurance 4x annual salary, Company sick pay scheme, medicash scheme.
