We are currently seeking an experienced Regional Administrator to join our Operations Team based in Newton Aycliffe, United Kingdom.
Overview
The Regional Administrator will be responsible for supporting the day-to-day administrative functions of the regional office. Key responsibilities include managing weekly invoicing, assisting with project quoting, and providing administrative support across multiple departments. The Regional Administrator will also coordinate travel arrangements, maintain personnel records, and handle accounts payable and receivable in alignment with Superheat standards.
Responsibilities
Data entry for invoicing for all projects in Superheat and/or customer portals (i.e. Track, Ariba, SAP, etc.)
Ensuring project quote/estimate is completed for the region, for timely delivery to the client
Performing all reception duties including phone answering, greeting walk-ins, messaging, supply ordering and mail
Submitting all approved invoices to customers
Tracking accounts receivable, following up on outstanding invoices
Assisting local employees with paperwork and items required for job site access
Assisting employees and applicable departments with time and expense entry
Maintaining personnel files as required
Reviewing project order information for accuracy
Providing administrative support to regional management and sales staff
Entering purchase orders and accounts payable invoices
Entering company credit card and fuel card purchases
Assisting with the management of drug and alcohol testing as well as background screens
Completing daily client cost tracking
Handling project insurance
Booking flights, hotels, and car rentals
Other duties as assigned.
Qualifications
At least three years of high-level administrative and accounting experience preferable
Experience using accounting systems
Understand invoicing, accounts payable and accounts receivable
Excellent computer skills in standard office programs
Superior communication skills
Able to work to tight deadlines

Pay: 28,000.00-32,000.00 per year
