Be part of our administrative department and, in association with other team members, the post holder will be required to support the general administrative requirements of One Heart Clinic with particular focus on supporting our patients through the services to meet our business requirements.
The role is full time office based, permanent Monday-Friday, 40 hrs per week. You will be required to work from our office 2 days a week and work from home 3 days a week, subject to changes to meet business demand and needs.
Our offices are sites are based in the City, Marylebone and Harley Street as well as the companies' offices at 12 Devonshire Street and One Heart clinical locations.
oRecording and transmitting messages; scheduling, receiving, and announcing scheduled patients and visitors; screening unscheduled patients and visitors; arranging referrals to other health care providers; scheduling appointments for consultations, x-rays, lab tests, MRI's, CT scans, etc
oEnsures all patient record keeping is clear and up to date.
oEnsures clinician productivity by maintaining calendars; scheduling patient appointments; consultations; professional meetings, conferences, and teleconferences
oEnsures all billing information is correctly gathered, and invoicing is done in a timely manner
oMaintains the highest level of confidentiality for all One Heart Clinic Patients.
Ensures that all tasks are kept up to date with clear notes about communications to patients and all other record keeping.
oWhen requested and on occasion generates revenues by completing direct patient and third-party billing; monitoring accounts receivables; initiating collection calls and reminders.
Secures information by completing database back-ups.
oMaintains office supplies inventory by checking stock; anticipating needs; placing and expediting orders; verifying receipt.
oKeeps office equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
oMaintains quality results by following and enforcing all company standards.
oServes and supports the health care community by adhering to professional standards, Clinic policies and procedures
oUpdates job knowledge by participating in educational opportunities; reading professional publications.
Enhances clinician office reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishments.
oSupports the clinic in all governance related tasks i.e., audits, collecting customer feedback, preparation for regulatory inspections etc.
oThe post holder will be responsible for answering incoming telephone calls and email enquiries, scheduling patient appointments (this includes point of care diagnostics, advanced imaging, and elective procedures), reviewing, and amending clinical letters before processing, billing self-pay patients and collecting payments and general administrative tasks. There will also be a requirement to provide patient concierge cover in clinic on a rotational basis and to cover clinic on Saturdays on a rotational basis (Approx. 1 in 8).
oParticipate in training as advised by Line Manager.
