Job Purpose:
To represent Praxis Facilities Management Ltd (PFM) in a professional and exemplary manner at all times acting as an ambassador in all your activities.
Optimise the commercial viability and performance to ensure the efficient and effective management of the Properties under your responsibility through the implementation of management and quality control systems, to deliver the highest level of service to our tenants.
Work with the Property Teams to review service contracts and implement efficiencies to savings across the service charge portfolios.
Work with the Property Teams to identify and implement measures for sustainability across the business space portfolio.
Responsible for the management of services and processes which support the core business, ensuring a suitable working environment for its clients, employees and their activities.
Ensure compliance with all relevant statutory requirements and codes of practice relating to Employment, Health and Safety, Fire Regulations, COSHH, Data Protection Act and all other statutory requirements relating to both the management of the properties and public areas. These requirements are to be implemented in accordance with the instructions given from time to time by PFM or through its Health and Safety/Operational Manual.
Main Duties:Financial
Deliver financial management, planning, systems, and controls.
Develop and manage the annual service charge budget mindful of quarterly cash flow.
Prepare explanatory booklets for tenants and landlord detailing planned expenditure rationale.
Oversee monthly and quarterly reviews and forecasts of the property's financial performance against budget.
Ensure overall financial management to keep expenditure in line with budget.
Work with Finance and Head Office to prepare end-of-year service charge reconciliation and report.
Ensure accounting queries are resolved and communicated promptly.
Improve operational systems, processes, and policies.
Identify exceptional circumstances impacting budget and work with Line Manager to resolve.
Prepare and submit monthly Management Reports and present at meetings if required.
Fire, Health, Safety, and Risk
Ensure delivery of a safe and secure environment.
Ensure compliance with statutory Fire and Health and Safety Regulations.
Complete all action points from Risk Assessments promptly.
Prepare and test disaster recovery plans with external agencies.
Serve as primary point of contact for external enforcement or emergency agencies.
Ensure disciplines and monitoring procedures for contractors are in place.
Ensure tenders and documents comply with legislation and good practice.
Achieve effective communication with Head Office, including management reports.
Maintenance and Cleaning
Ensure high standards of cleaning, repair, and presentation within budgets.
Develop and implement a facility management program, including preventative maintenance.
Conduct and document regular facilities inspections.
Record utility consumption for common and vacant areas.
Supervise maintenance and repair of facilities and equipment.
Oversee facility refurbishment and renovations.
Plan and manage services such as reception, security, cleaning, catering, waste, and parking.
Implement best practice processes to increase efficiency.
Contractor Service Provision
Ensure contractor specifications are adhered to.
Escort visiting contractors and ensure permits to work are in place.
Evaluate contractual relationships and service performance.
Address any shortcomings in service delivery.
Obtain and compare quotes and tenders for goods and services.
Negotiate contracts for delivery and cost savings.
Monitor contractor activity and performance.
Ensure service contracts meet FM needs.
Verify invoicing accuracy against contracts.
Plan and monitor FM staffing levels and efficiency.
Management Reporting
Assist in efficient control of building energy usage.
Prepare and review service charge budgets with Asset Manager.
Generate and present regular financial and performance reports.
Develop and implement cost reduction initiatives.
Advise on and monitor energy efficiency.
Tenant Liaison
Establish and maintain clear communication with all stakeholders.
Plan and deliver regular Tenant meetings.
Build strong tenant relationships and ensure effective communication.
Produce and review Tenant, Contractor, and Emergency Handbooks.
Represent the property at management and letting meetings if required.
Act as local point of contact between properties, agents, and potential tenants.
Requirements, Skills and Qualifications
Relevant FM qualification or equivalent experience.
Member of BIFM.
Competent in Microsoft Office packages (intermediate level).
Experience in entrepreneurial, fast-paced, flexible Retail/Business space/property environments.
Operational management experience in customer service/retail, H&S legislation, and people management.
Excellent technical knowledge.
Confident in meetings and report preparation for senior colleagues.
Broad expertise across FM disciplines.
Strong negotiation skills to maximise business potential.
