The role is accountable for the effective operational facilities management of a portfolio of buildings including large Industrial Estates and key retail & leisure schemes. The area covers a range from Waford, Cambridge, Midlands to Ipswich. The role will include supplier management, tenant liaison, service charge management H&S, ESG, delivery of PPM and reactive repairs, support in the delivery of FM projects (Office fit outs, office moves, M&E works) to the portfolio and other locations in UK region as appropriate.

And as a Regional Facilities Manager with Bellrock, you'll do it by

Act as the initial focal point of contact between the Client, Contractors and Bellrock to ensure an effective communication between all parties is always maintained. Attend meetings with the client in relation to projects, health and safety and monthly service review meetings as required. To oversee the curation of a safe, welcoming, and exciting environment for all occupiers & visitors to the destination To build extensive local networks with business partnerships, local stakeholders and society in general in order to have an in-depth knowledge of the individual properties and their local area. On a more strategic level the Facilities Manager will suggest ideas to improve the setup and running of any events, and engagement activities. To compile all occupier feedback and present this to the SDM/PM, as appropriate, to develop the offering at the destination. To work closely with the management teams, occupiers and the facility providers such as cleaning, security, and maintenance in order that all parties have good relationships and support each other. The management of reactive and planned works via the Concerto system. To arrange and ensure routine and planned maintenance tasks are carried out to time and in accordance with the Contract. Ensuring that authorisation is in place for any additional costs and that all records are accurate for the purposes of invoicing. Invoices and financial reconciliation to be completed in an accurate and timely manner. To liaise with Contractors to ensure that the works are carried out in line with contract, ensuring that performance requirements are being met. Undertake all necessary inspections, maintaining required records as directed by the Contract Manager. Reviews and/or inspects work for quality, accuracy, and completeness. Provide support for Projects where required. Interact with various accounts/projects departments to resolve issues relating to service delivery. Assist the Service Delivery Manager in the preparation of budgets, providing data as necessary. Assist in the production of monthly client reports/minutes. Write and or draft correspondence, reports, and other documents. Ensure Account Management documentation is maintained and makes necessary arrangements with contractors to ensure compliance with standards. Maintain the statutory accident book and to report any such entries to Bellrock's Health and Safety Department Ensure Health and Safety regulations are fully observed. Carry out responsibilities under Bellrock's Health and Safety Policy and Equal Opportunities Policy, which are appropriate to the job. Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide a quality seamless customer service. To be well presented in dress and appearance at all times by following the Bellrock standards. Be reliable, flexible, honest and a strong advocate for Bellrock and the destination and at all times ensure you provide a consistent service.

Operational



Lead, motivate and develop the on-site teams. Manage and measure performance of all vendors (including Cleaning, M&E, security, lifts, fire safety, grounds maintenance etc.) Manage the on-site tenant relationships. Ensure PPM is performed on time and to specification. Ensure reactive repairs are performed on time and to specification. Ensure the workspace environment is maintained to a high standard via delivery of appropriate FM services. Compile and complete audits in line with agreed schedule. Ensuring all non-conformances are actioned and closed as appropriate. Ensure all contract documentation is reviewed and updated appropriately, this includes but is not limited to the emergency response plan, business continuity pan, H&S, water and fire risk assessments, utility management document. Provide support in the management of any site projects.

Financial



Develop the service charge budgets for the estate in line with the managing agent. Effectively manage the operational costs

EH&S



Ensuring compliance with all relevant legislation Ensure EH&S policies and procedures are implemented. Ensure appropriate inspection and testing regimes are implemented. Ensure evacuation arrangements are in place (procedures, Fire Marshals, First aiders etc.) Oversee the site EH&S committee for your building(s)/portfolio. Reporting all accidents and incidents via the relevant reporting procedures. Ensuring all incidents are investigated appropriately and any necessary actions taken.

Environmental and sustainability



Provide support to achieve and maintain ISO14001 Certification. Attend any meetings as required. Develop & deliver Asset Sustainability Plans for the estate. Work with on-site teams, suppliers, environmental consultancies, and local authorities to effectively implement and communicate positive sustainability changes.

What does it take?

Facilities Management experience preferred. Excellent communication and influencing skills. Good attention to detail, ability to multi-task, able to converse at multiple levels. Knowledge of the FM Environment

Have demonstrable leadership skills with a clear focus on building and leading teams to success.

Working arrangements

In this role, the successful candidate would be required to work around the South Midlands area (covers a range from Waford, Cambridge, Midlands to Ipswich) on a hybrid basis Monday to Friday 08:30-17:00.
