Job Description

We are seeking a proactive and detail-oriented Registry Officer to join our Academic Registry and Student Success team. Working as part of a small, collaborative team, you will deliver an effective and responsive service to staff and students, supporting the smooth running of core student life-cycle activities.


The role has a strong focus on student records, statutory returns (including HESA and HESES), data processes, and student information systems (currently Thesis Student Management). You will manage competing priorities, work independently when required, and use your judgement and initiative to resolve day-to-day issues within established procedures.


This is an excellent opportunity for someone with experience in Higher Education administration who enjoys working with data, improving processes, and supporting colleagues across an institution.

Main Duties and Responsibilities



Statutory Returns and Data Production



Support the production and submission of annual statutory returns, including HESA and HESES. Work closely with the Academic Registry team to ensure student data accuracy ahead of deadlines. Produce annualised datasets to support College processes (e.g. Postgraduate Student Experience Survey). Provide expert advice on statutory returns to colleagues across the College. Identify and help resolve data quality issues. Produce basic data queries and resolve data issues within returns.

Student Records



Support the annual update of student records and systems ahead of each academic year. Maintain the day-to-day accuracy of student records within Thesis. Act as the first point of contact for staff queries relating to student records, data production, and relevant College policies.

Data Management and Administration



Manage day-to-day administration of the student records system, including updates, communications, and query resolution. Support good data management practices across the College, identifying opportunities for improvement. Act as a peer advisor to School teams on student records systems and annual processes. Provide student data updates and advice throughout the academic year. Support assessment processes by updating student records with outcomes as required. Contribute to the review and development of examination practices and staff guidance. Support internal and external data audits.

About you



Experience working with student records and information databases in a Higher Education environment. Excellent organisational skills with high levels of accuracy and attention to detail. Strong digital literacy, including proficiency with email, word processing, spreadsheets, and databases. Ability to manage competing priorities and a varied workload. Confident problem-solver, able to work with incomplete information. Ability to reflect on processes and implement improvements independently. Excellent communication skills. Ability to work effectively under pressure and as part of a team. Good understanding of information security, data protection, and confidentiality requirements.
