Job Description

This role is Monday - Friday however there will be days where flexibility is required regarding start/finishing times and there is also some level of travel involved. There will also be days where working from home may be possible.

Any offers of appointment will be subject to a Disclosure and Barring Service (DBS) check (formerly CRB), a certificate of good conduct if applicable, plus receipt of satisfactory references, Occupational Health clearance, an understanding of safeguarding and qualifications verification. An Enhanced DBS check is required for this position as you will be working within 'Regulated Activity' within a specific place (i.e. the College).

BACKGROUND TO THE POST

JOB PURPOSE



The Residential Services Coordinator plays a key role in supporting the Residential Services Managers in maintaining and further developing accommodation and housing services for students and visitors at Moreton Morrell and Royal Leamington Spa Colleges. This role will involve liaising with the Residential Services team, as well as working alongside officers at both college sites to meet the residential needs of students, apprentices, and summer guests. The role also includes providing administrative support and utilizing technology to streamline processes and enhance service efficiency.

KEY RESPONSIBILITIES


1. Accommodation Management



Act as the main point of contact for issuing and collecting residential documents for students, apprentices, and summer guests.

Oversee the allocation of room keys, ensuring all paperwork and administrative processes are completed efficiently, using the TCAS system or equivalent.

Assist with the allocation of rooms in line with College policy, liaising with the domestic team for coordination.

Maintain accurate and up-to-date records of all accommodation and letting agreements, ensuring compliance with College policies and regulations.

2. Accommodation Evaluation and Maintenance



Regularly visit and evaluate accommodation, ensuring all accommodation complies with College guidelines, including health and safety regulations.

Assist with conducting end-of-year maintenance checks, ensuring rooms are ready for new occupants or summer lettings.

Collaborate with the Estates team to report maintenance issues and ensure timely resolutions.

3. Support for International and Underage Students



Support home stays department and the International Department when needed by supporting the receiving and accommodating overseas students, ensuring proper key distribution and accommodation arrangements.

Assist with organising induction and pastoral support for students under the age of 18, adhering to National Minimum Care Standards.

Develop and maintain strong links with homestay providers to promote cultural understanding and ensure a quality experience for students.

4. Administrative Duties



Assist with raising invoices, monitoring fee payments, and processing damage charges in line with College policies.

Use technology to maintain and update databases for accommodation management, ensuring smooth operations and efficient record keeping.

Provide general administrative support for the Residential Services Managers and cover the Residential Services Office as required.

To assist with open events as and when required, this will help with the promotion of residential within the college.

5. Customer Service & Safeguarding



Ensure a positive customer experience by handling enquiries efficiently and responding to concerns in a proactive manner.

Safeguard the welfare of children and vulnerable adults, in compliance with the College's safeguarding policies and the HASAW Act.

6. Health & Safety



To ensure a safe working environment for colleagues, students, and visitors in line with the HASAW Act and the College Health and Safety Policy.

In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.

ANNUAL LEAVE



The College offers a generous annual leave entitlement to support staff, commencing with 25 days rising to 28 days after 5 years' service, pro rata per annum plus 8 statutory days (Public & bank Holidays) and College closure days (all pro rata for part time posts).

HOURS OF WORK



The post holder will be expected to work such hours as are necessary for the proper performance of their duties and responsibilities, normally 20 hours per week. The post holder may be required to work additional hours as necessary to meet the needs of students, particularly during peak periods such as the summer holiday.

PLACE OF WORK



The principal place of work will be the College's premises based at our Moreton Morrell College. However, the post holder may be required to work on either a temporary or an indefinite basis at any premises at which we may provide services.

Attainments



GCSE Grade C or above in English and Mathematics, or ability to demonstrate literacy and numeracy skills. Working knowledge of information technology such as e-mail, the internet and other software applications. A UK driving licence, free from major endorsements is required for business-related travel between College sites. Or the ability to travel between sites as needed. Excellent communication skills, both verbal and written. Excellent administrative and organisational skills.
