In our last 10 years of business, we have worked with high-capacity outdoor events, such as Secret Garden Party, Tokyo World, Silverstone and Nocturne at Blenheim Palace, as well as working with high end clients varying from Henley Festival (the UK's only black-tie festival), Salon Prive Concours, and Council's across the region securing their count centres for both local and general elections.

We are looking for a highly organised and proactive person to join our successful team, based in Banbury, Oxfordshire. This role includes Managing the day-to-day resources of the company (both people and products), working with the operations team to ensure all requirements are processed, and managing the Approved Contractors Scheme and its policies and procedures.
Managing (either completing themselves or overseeing it done by the resourcing team) the full process of resourcing and ensuring it is completed within specified timelines, such as but not limited to; ensuring shifts are offered out to staff with full spec of information relevant to the shift, staff confirmations/rejections are acknowledged, booking of subcontract staff as/if required, full preparation of kit for all jobs, and that timesheets approved post completion of shifts.
Checking timesheets (spot checks) weekly to ensure they all have been completed correctly by resourcing team, ensuring all are ready for payroll at the end of every month then liaising with both payroll and operations team to get to the bottom of any queries.
Oversee the maintenance/quality of kit, reporting anything that needs replacing or repairing to the GM, and tracking down any equipment that hasn't been returned as expected, when informed by the resourcing team about such issues.
Monitor and Manage the booking of MOT's/Services/repairs for the company vehicle fleet that are required, ensuring it has no impact on the business having a vehicle out of use.
Conduct 'Intelligence Gathering' meetings with Operations Team as required, to collect all details in relation to shifts to ensure the information is available to staff at the initial offer of said shifts.
Management of the Approved Contractors Scheme, ensuring all suppliers are compliant with paperwork. With the assistance of the Resourcing Co-Ordinator, conducting beginning of year meetings to review and implement plans for the upcoming year.
Manage the 'dip testing' policy as part of the Approved Contractors Scheme
Produce and deliver a monthly report regarding resourcing for the GM. This will include (but not exclusive to) statistics on staff sickness, blowouts, cancellations, total shifts (internal vs subcontractors), subcontractor details, performance comments, and kit reports.
Attend weekly manager meetings as required by the General Manager and report any concerns.
Limited client liaison with existing venues, to ascertain their requirements in line with ongoing provision of services contracts.
Assessing new lines of enquiry (by both phone and email) and passing these to the relevant person within the team
Line management of the resourcing team, including yearly Personal Development Plans, overseeing annual leave requests, and overtime requirements (including passing these to payroll to ensure payment).
Provide training/mentoring to new members of the resourcing team as required.
Being part of the on-call rota team
Supporting the office team as required, whether it be support/guidance, or completing tasks when there is a deadline/increased workload, or a member of the team is out of the office.

Hours of work: Monday - Friday, 09:00 - 17:00
This role is a vital member of our office team, meaning it is fully office based, and there is limited flexibility in the days and hours advertised. We urge only those who can commit to full office attendance during the specified days and hours to apply.
Our work is based primarily on providing services up and down the country, therefore for the first 12 months of employment we would strongly encourage this role to come to these events with our team to experience first-hand how the work in the office transfers to the work out at the events.
As our staff work 24 hours a day, 7 days a week, this role does include an on-call aspect, in which you would be on call for emergencies outside the office's standard working hours. This is done on a rota basis, meaning you would cover every other Saturday morning, as well as one full week in five (outside standard office hours), the rest of the weeks being covered by other members of the team. Any issues or emergencies outside the office working hours would come to you via phone, for you to either provide advice, handle or escalate if required.
