Purpose
To provide efficient, effective, and confidential administrative support and assistance to the Safeguarding Manager and the safeguarding team.
Key Responsibilities:
Undertake a range of administrative duties and work as part of the safeguarding team and the wider business.
Assist with logging and updating safeguarding incidents, and dealing with highly confidential information.
Liaise with staff, external partners, via phone, emails and virtually to support working together to safeguard customers and staff.
Support the administration of safeguarding group meetings, diary invites, taking minute, collate information and documents etc.
On-going communication and engagements with departments for feedback on safeguarding actions and updates.
Assist with logging contractors' compliance data and follow-ups with departments for information to map the matrix database.
Provide administrative assistance with safeguarding updates and awareness for staff as required.
Provide admin support relating to associated safeguarding matters, such as audit preparations, safer recruitment, risk assessments and DBS admin support.
Support with audits and relevant accreditation preparations, organizing, creating folders and uploading relevant documents for assessments.
Assist with Local Authority compliance returns and any audit processes.
Set up purchase orders numbers, logging invoices to ensure swift payment as required
Take initiative, manage time and administrative priorities.
General administration duties as required within the safeguarding team.
More about you:
- Educated to GCSE level or equivalent in Maths and English (Grades A*- C)
Good level of knowledge and understanding with regards to safeguarding desirable
At least three years' administrative experience working in a customer-centred environment, and dealing with people
Excellent level of computer literacy: Ability to use MS Word, MS Excel, PowerPoint, MS Outlook
Experience of working as part of a team
Demonstrate ability to engage and communicate effectively with good networking and influential skills.
Demonstrate effective time management, takes initiative and excellent level of administrative skills
Able to work effectively and diligently at a fast pace and meet tight deadlines
Experience working in a customer or safeguarding environment and have some understanding of customers 'at risk
