We supply our high-quality savoury pastry products to a diverse range of clients, from national wholesalers to local cafes. Our commitment to excellence and customer satisfaction has driven our success, and as we continue to grow, we are seeking a proactive and organized Sales Administrator with responsibilities for stock planning to support our sales team and ensure the smooth operation of our sales processes.
With a small team, working in an open-plan office you will be involved in all daily business chatter and activities as we take on new project and products and grow the business.

This person will be a key member of our small office-based sales administration team, ensuring that sales orders are processed and delivered efficiently to the requirements of our customers.
The role requires excellent organisational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
You will work to ensure that stock levels are accurate, efficiently managed to ensure product availability for sale, and aligned with the company's operational needs. Working closely with various suppliers and warehouses you will monitor inventory levels and order stock to ensure the smooth flow of goods.
You will be responsible for processing customer orders, coordinating logistics and maintaining customer records to ensure that our customers receive outstanding service.

Daily life involves both routine daily tasks and being flexible to tackle problem solving, with investigative work to provide quick solutions in an FMCG environment.

This role requires someone who is comfortable working under pressure at times and a competent communicator by phone and email.

The experienced office team are hands on to train, assist and support.

Key Responsibilities:



Process sales orders accurately and in a timely manner, ensuring all details are correct. Process supplier invoices and credits to ensure they match figures expected. Create customer invoices and credits for delivered orders. Maintain and update customer records in our systems. Liaise with production, logistics, and finance teams to ensure the smooth delivery of orders. Input sales data to enable reports to be generated by the team as required. Handle customer enquiries and resolve any issues related to orders or deliveries. Monitor stock levels and forecast future stock requirements for all our products. Coordinate with our manufacturing partners to align their production schedules to meet our forecasts Analyse historic and known customer requirements to anticipate demand and avoid stock shortages. Perform general administrative duties such as filing, data entry, and managing correspondence.

Qualifications:



Proven experience as a Sales Administrator. Experience and understanding of stock management in a similar administrative role. Strong organisational, time management and multitasking abilities. Ability to work independently and as part of a team. Excellent communication skills, both written and verbal. Ability to work under pressure and meet deadlines in a fast-paced environment. Proficiency in Excel and Sage Accounting. Knowledge of other MS Office packages (e.g. Word, PowerPoint). Attention to detail and accuracy in data entry. Knowledge of the food manufacturing and wholesale industry is an advantage.
