The Role
We are looking for a Sales Administrator to join our office team, with an imminent start date. You will be the first point of contact for customers, in person and over the phone working Monday to Friday 8.30am-5.00pm at our small, friendly office in South Cave, near Brough. You may be new to the office environment, or you may have many years of experience, we are open to all applicants! Product training will be provided, and progression is available for the right candidate.
Responsibilities
Main person responsible for answering the telephone and passing on messages and calls.
Greet customers and visitors and deal with their reason for visiting.
Process customer orders received via email, telephone, visit:
- Raise sales order (calculating profit margin when required)
- Raise PO from supplier to CMW/direct to customer
- CMW stock: pick and pack, dispatch order on Sage
- Arrange deliveries via carrier to customer
- Print customer invoices and take payment where necessary
Maintain stock levels of common CMW items.
Place supplier orders with most competitive price and delivery time in mind, and at the request of colleagues.
Check supplier order confirmations and contact suppliers regarding delivery/product problems.
Check-in deliveries the day they arrive, put away and communicate delivery to relevant members of staff.
Process / file all paperwork as applicable and per company procedure.
Maintain Purchase Order spreadsheet daily to ensure deliveries are made as per requested date and liaise with customers, colleagues regarding changes.
Arrange collections from the Netherlands, ensuring correct procedure for imports is followed.
Assist sales staff with quotations and orders.
Assist with administration of sales enquiries and targets XL files.
Process customer returns/problems, escalating these where required.
Keep warehouse tidy, ensure walkways and fire exits are kept clear.
Liaise with colleagues regarding project work; ensuring timely deliveries, returns, stock adjustments are processed.
Sage 'housekeeping', including maintaining sales prices, stock items, open POs and SOs.
Assist with administration of trade shows as instructed.
Requirements
Excellent customer service skills
Basic knowledge or experience of Microsoft Office applications (Outlook and excel)
Able to direct others and work as part of a team
Basic knowledge of Health & Safety in the workplace
Able to problem solve and use own initiative
Flexible / Positive approach
Work with accuracy and great attention to detail
Current full driving licence
Experience within Horticulture or Irrigation would be preferable
