Purpose of Role
The Sales Admin Assistant will support the sales team by managing administrative tasks, ensuring efficient sales operations, and contributing to the overall success of sales initiatives.
Key Responsibilities
Sales Support & Data Management
Assist with lead generation activities, including researching potential clients and monitoring competitor media.
Prepare data and lists for sales initiatives, such as compiling contact lists for tradeshows, e-prospecting campaigns, and creating/managing call lists for sales representatives.
Summarize monthly inbound lists, reviewing and condensing leads and inquiries to help the sales team prioritize and follow up effectively.
Maintain the CRM system by updating client information, logging interactions, and ensuring data accuracy.
Manage HubSpot Properties and Sequences, including creating and updating properties for effective data capture and setting up/maintaining sequences and snippets to streamline sales communications.
Order Processing & Invoicing:
Process sales orders efficiently and manage the invoicing process, ensuring timely and accurate billing, correct invoice generation, and complete deal data.
Monitor and update expiring quotes, flagging them for follow-up by the sales team to secure potential deals.
Marketing & Media Support:
Book and manage banner ad placements, coordinating and scheduling bookings, chasing for necessary artwork, and updating monthly banner ad statistics.
Assist with the creation or sourcing of marketing materials, collecting and saving customer testimonials in HubSpot, and gathering case studies for sales pitches and marketing use.
Process Media Partner Contracts, handling administration and ensuring deliverables are actioned and tracked.
Monitor and engage with social media interactions, checking inboxes, approving group members, and monitoring posts to engage with potential leads and existing clients.
Office Administration:
Manage office supplies and equipment, ensuring the sales team has necessary resources like media kits and shirts.
Performance Standards
Performance in this role will be evaluated based on:
Efficiency and accuracy in sales support and data management
Timeliness and precision in order processing and invoicing
Effectiveness in assisting with marketing and media-related tasks
Proactive management of office supplies and equipment
Quality of communication and collaboration with the sales team and other stakeholders.
