Job Description

ORB is a leading promotional merchandise agency that works with an enviable client list including Tunnock's, ScottishPower, Arnold Clark, Greggs, The Royal Edinburgh Military Tattoo and Tennent's Lager.

We are looking for an organised and proactive Sales Administrator to join our growing client service team ideally Glasgow based (although we would consider hybrid and remote).

Being a good Sales Administrator is all about having a fantastic eye for detail, an ability to juggle multiple things at once, being able to prioritise and re-prioritise, communicating brilliantly and enjoying providing support to the team to ensure we deliver the best service all year round.

Key Responsibilities:



Your role will be to support a busy client service team in delivering a wide range of compliant brand merchandise, sourced from an equally wide range of national and international suppliers for our clients.

To do so effectively involves critical administrative tasks including quoting, proofing and ordering as well as extensive liaison by phone/email with relevant parties.

Quoting and Sampling

Request and manage supplier quotes. Create client quotes in Promo Office. Coordinate product visuals and sample requests with suppliers. Support Account Managers with day-to-day admin and client communication.
Ordering and Delivery

Accurately raise sales and purchase orders in line with client briefs and agreed specifications. Communicate with local and international suppliers to confirm product details, lead times, proofs, and shipping logistics. Ensure full compliance with applicable UK and EU product legislation, including REACH, RoHS, WEEE, and GSPR. Work with suppliers and manufacturers to collect accurate documentation on product composition and conformity. Assist with artwork approvals, proof checking, and ensuring client brand guidelines are met. Check product proofs and pre-production samples for accuracy and quality before final approval. Maintain and update technical files, including safety data sheets, declarations of conformity, and certifications. Provide timely updates to clients and the Account Manager on production progress, delays, or issues. Help resolve production or delivery issues quickly and professionally. Maintain accurate records of job data using Promo Office.

What We're Looking For:



Previous experience in a sales or production administration, project coordination, or compliance-related role. Previous experience in merchandise industry (ideally). Strong organisational and time management skills. Excellent communication skills (written and verbal). High attention to detail and accuracy. Comfortable using systems such as Promo Office or similar ERP/order management tools.
