The Sales Administrator provides critical support to the sales team by ensuring administrative accuracy and operational efficiency. This role involves reviewing documentation, issuing purchase orders and proforma invoices, building sales quotes, coordinating with logistics and repair teams, and maintaining accurate CRM records. The ideal candidate will be organized, detail-oriented, and comfortable working in a fast-paced commercial aviation environment.
Key Responsibilities:
Administrative & Document Control
Review and verify all customer paperwork for accuracy and compliance.
Draft and send purchase orders and proforma invoices to suppliers and customers.
Maintain document filing systems (digital and physical) for audit readiness.
Sales Support & Quote Preparation
Assist the sales team by building and formatting quotes based on provided pricing and sourcing data.
Ensure timely turnaround of quotes, supporting sales productivity and customer satisfaction.
Track the status of open quotes and coordinate with sales reps to follow up as needed.
CRM & Data Management
Input and update supplier quotes and new customer contact details in the CRM system.
Maintain accurate and organized records of all supplier/customer communication.
Ensure CRM data integrity to support reporting, targeting, and follow-up workflows.
Logistics & Repair Coordination
Liaise with the logistics team to arrange collections, shipments, and delivery updates.
Coordinate with repairs to track the status of materials and communicate updates to sales staff.
Escalate any delays or discrepancies in shipments to sales team to share with clients
Key Performance Indicators (KPIs):
Accuracy of quotes and documentation issued
Turnaround time for POs, invoices, and CRM entries
CRM data completeness and consistency
Support response time to sales team requests
Internal team satisfaction and communication effectiveness
Required Skills & Qualifications:
High attention to detail and accuracy with paperwork and data entry
Proficient in Microsoft Office, especially Excel and Outlook
Experience with CRM platforms (e.g., Salesforce, Zoho, or similar)
Excellent organizational and multitasking skills
Strong written and verbal communication skills
Comfortable liaising with logistics and repair providers
