Job Description

Sales & Events Coordinator - World Famous Dive Bars (Bristol & Somerset)

The Crown Bar and Venue | The Mothers Ruin | The Colosseum | The Greyhound | Bliss

What's the Role About?

As Sales & Events coordinator, you'll be responsible for growing pre-booked sales across all five sites with more to come, making sure every event - from first enquiry to last drink - is expertly managed and brilliantly executed. You'll work closely with our pub teams and central office to ensure our guests feel looked after, valued, and excited to return. You'll also play a key role in shaping our calendar of events and promoting our venues as the go-to destinations for Bristol nightlife. This role is primarily based at our city centre office, Monday to Friday. However, some work at our venues will be required, including some weekends to oversee events and ensure they run smoothly for our guests. As such, a full, clean driving licence is essential. Any overtime worked will either be paid or taken as time off in lieu.

What You'll Be Doing:

Taking full ownership of private hire, party bookings, community events, and one-off happenings across all five venues and our city centre Airbnb property.

You'll ensure each booking is tailored to the client's needs and runs smoothly, whether it's a small gathering, a lively birthday bash, or a large-scale celebration.

Collaborating closely with General Managers and the operations team

to identify untapped sales opportunities, develop strategies, and consistently meet or exceed weekly revenue targets.

Acting as the first point of contact for all booking enquiries,

ensuring prompt, professional, and engaging communication that converts interest into confirmed bookings and fosters strong client relationships.

Leading venue show rounds and attending key events,

representing our venues as a welcoming, knowledgeable ambassador who builds trust and enthusiasm with potential and existing clients.

Supporting the planning and execution of major annual events and key calendar dates

such as Halloween, Christmas, Pride, New Year's Eve, and other local or seasonal highlights, keeping the event schedule vibrant and driving strong attendance year-round.

Working in close partnership with the marketing team

to create and deliver compelling online promotion, ensuring all events are actively advertised across social channels and relevant platforms to maximise reach and engagement.

Developing and nurturing relationships with local businesses, promoters, artists, creatives, and community groups

to ensure our venues remain cultural hubs, busy with a diverse range of events and audiences.

Proactively generating new business through targeted outreach

including phone calls, emails, and social messaging, expanding our network of contacts and booking pipeline.

Representing the venues at local networking events,

boosting our profile within the city's nightlife, hospitality, and events communities while staying up-to-date with industry trends and competitor activity.

Managing the ResDiary booking system (or similar platform),

maintaining accurate records of enquiries, sales data, and bookings, and providing detailed weekly reports to the operations team to inform decision-making.

Securing Airbnb and other short-term rental bookings for our venues, with a particular focus on stag and hen parties,

ensuring these groups receive bespoke packages and a seamless, unforgettable experience that encourages repeat business and positive word-of-mouth.

Coordinating closely with Airbnb hosts and local accommodation providers

to design exclusive package deals tailored specifically for stag and hen celebrations, combining venue hire, drinks, entertainment options, and accommodation for an all-in-one party experience.

You'll Need:

Proven experience in events management, hospitality sales, or venue operations

, ideally within a fast-paced nightlife or live entertainment environment. You'll be comfortable juggling multiple bookings and coordinating with diverse teams to deliver seamless events.

A genuine passion for music, nightlife, and independent culture

Outstanding communication skills

, both written and verbal, with the ability to engage confidently with clients, colleagues, suppliers, and partners. You'll be approachable, persuasive, and clear in all your interactions.

A proactive, can-do attitude

, constantly on the lookout for new sales opportunities, partnerships, and ways to innovate. You don't wait for things to happen -- you make them happen.

A natural talent for building genuine relationships

, making clients and guests feel valued and understood throughout their entire booking journey. You thrive on delivering excellent customer service and creating repeat business.

A creative flair for promotion and content creation

, contributing ideas for social media, events marketing, and special offers that help raise the profile of our venues and attract diverse audiences.
