We have an excellent opportunity for a Sales and Events Executive to be responsible for the growth & development of our wedding, conference & events business by responding to enquiries for events & reservations, co-ordinating necessary administration and communications and ensuring a seamless transition from the confirmation of the sale to the operation of the event.

RESPONSIBLE TO: General Manager and Deputy General Manager.



HOURS:

This is a permanent position based on 5 shifts per week. Flexibility will be required as weekend work may be required. There may be an option of a full-time role. There is a 6-month probationary period.

The hotel comprises of 71 tastefully decorated bedrooms, 20 self-catering lodges (14 Lakeside & 6 Woodland with private hot-tubs), 12 Lakeside Studios, a private members Health Club, Elemis Spa with relaxation zone, expertly maintained grounds with lake frontage and unique scenic views. On-site facilities include a secure children's outdoor play area and Padel Tennis court, affiliated to the Padel Federation of Ireland

Food outlets include the Lakeside Grill Bar and Lounge serving carvery lunch, snack menu and evening grill bar menu, the Konservatory serving afternoon teas, and Kove restaurant. The Boathouse Bar offers an extensive range of quality alcoholic beverages, cocktails and wines and specialist coffees.

3 function rooms cater for private dinners, weddings, and events ranging from 80 to 400. Our Sunday Family Carvery caters from 150 to 700 on speciality occasions such as Mother's Day and our famous Santa Sundays.

Key Responsibilities:

To be the primary point of contact for weddings, conferences, events and event-based accommodation - handling all enquiries and requests, reservations and providing accurate information in line with company policy.

Identify and capitalize on new business opportunities to drive revenue growth and develop, implement, and oversee strategies for business growth and development

To attend and co-ordinate wedding fayres/ showcases and other business promoting events.

To work with Hotel Management and staff to ensure the smooth running and execution of weddings, conference and events.

To maintain strong communication with Hotel Management with weekly updates on status and business development and prepare/ assist prepare accurate information for function sheets.

To discuss and advise clients on menus, beverage options and further in-house services. Ensuring in-house costings are sustained at their agreed levels.

To upsell additional services, facilities and products throughout the planning stages.

To be responsible for event payments, invoices, issue Pro-forma invoices and work with preferred suppliers.

To ensure a prompt, courteous response and follow up to all enquiries.

To ensure Killyhevlin is fulfilling all of the requirements detailed on the function sheet and that a courteous & professional service is being delivered.

Completing relevant essential administration work, keeping accurate and organised records of vendor contracts, budgets, and client details.

Delivering excellent customer service, making clients feel comfortable and confident throughout the event planning process and keeping in contact with organisers of booked events, to ensure all details are covered.

Communicate and negotiate with various suppliers to facilitate the sales process and manage and oversee activity providers and contractors as/ if necessary.

Collaborate with Marketing to create new events and products for direct sales and identify and manipulate opportunities and platforms to market, promote and increase the visibility and appeal of events to potential customers.

Experience:

Essential:

Good standard of education: Maths and English to a minimum of grade B

Previous conference and events sales experience and ability to physically demonstrate talents and skills with a passion for events and customer care.

Previous hospitality industry knowledge to understand the needs and expectations of clients: familiarity with hotel or licensed restaurant operations is a plus

A team player with effective communication skills to liaise with clients, vendors, and other stakeholders.

Strong organisational and time management skills to handle multiple tasks simultaneously.

Be able to work flexible hours including evenings and weekends as required.

Be charismatic, confident, energetic, with a smart and presentable appearance and have pride in doing an excellent job

Industry recognised hospitality management qualification.

Excellent organisational & planning skills

Desirable:

Passion for events & for achieving targets & objectives.

Ability to anticipate peaks & troughs in the market & to price rooms accordingly

Strong analytical skills to understand key business indicators & competitive trends & develop approaches to such challenges.
