Due to significant growth, we are seeking a highly organised, detail-oriented Sales Support Administrator to join our Sales and Marketing team to provide essential administrative and operational support to our Business Development and Account Management teams.

Job Purpose



To provide comprehensive administrative and operational support to the Sales team, ensuring smooth sales operations through efficient customer communication, accurate quote generation, diligent CRM maintenance, and effective marketing support. The role is crucial in enabling the Business Development and Sales team to focus on revenue-generating activities whilst maintaining exceptional customer service standards and operational excellence.

Responsibilities



To provide first-line customer communication support, responding to customer enquiries via phone, email, and online channels in a professional and timely manner

To prepare, generate, and distribute customer quotations and proposals, ensuring accuracy and adherence to pricing guidelines and company standards

To maintain and update the CRM system (e.g., Salesforce, HubSpot, or similar) with accurate customer information, opportunity tracking, and activity logs

To support sales forecasting by updating pipeline data, tracking opportunity progression, and providing accurate reporting to the Sales Director

To process sales orders accurately, liaising with internal departments including finance, operations, and technical teams to ensure smooth order fulfilment

To coordinate and support marketing activities including email campaigns, customer communications, event logistics, and digital marketing initiatives

To assist with the organisation and coordination of customer events, webinars, trade shows, and sales meetings, including logistics, materials preparation, and attendee management

To maintain sales documentation, including contracts, agreements, and customer records, ensuring compliance with company policies and ISO standards

To prepare sales reports, presentations, and data analysis as required, providing insights into sales performance and customer engagement

To coordinate with technical teams to obtain product information, technical specifications, and support materials for customer proposals

To manage the sales inbox, scheduling meetings, coordinating calendars, and ensuring timely follow-up on customer enquiries and opportunities

To assist with customer onboarding processes, ensuring smooth transition from sale to service delivery

To maintain sales collateral, presentations, and marketing materials, ensuring they are current and accessible to the sales team

To provide after-sales administrative support, handling customer queries, processing changes, and coordinating with service delivery teams

To contribute to continuous improvement initiatives, identifying opportunities to streamline processes and enhance sales operations efficiency

Requirements



To operate with professionalism and attention to detail, supporting the sales process from initial enquiry through to order completion, whilst contributing to marketing initiatives including email campaigns, event coordination, and customer engagement activities.

Minimum of 2 years' experience in sales support, sales administration, or similar customer-facing administrative role

Proven experience with CRM systems (Salesforce, HubSpot, Microsoft Dynamics, or similar)

Excellent proficiency with Microsoft Office suite (Word, Excel, PowerPoint, Outlook)

Strong orgsanisational skills with exceptional attention to detail

Excellent written and verbal communication skills with professional telephone manners

Strong customer service orientation with ability to build positive relationships

Ability to manage multiple tasks and competing priorities in a fast-paced environment

Proactive self-starter with ability to work independently and as part of a team

Experience with quote generation and order processing

Understanding of sales processes and pipeline management

GCSE or equivalent qualification in English and Mathematics (Grade C/4 or above)

Experience supporting marketing activities, such as email campaigns or events, is desirable

Exposure to the technology, IT services, or B2B sector is desirable

Experience working in a remote or hybrid environment is advantageous
