Sales Support and Small Works Coordinator



AVS Projects Ltd is looking for an experienced Sales Support and Small Works Coordinator to join our small but rapidly growing team. AVS Projects Ltd was established in 2019 and provides AV, Fire and Security Services across London, Home Counties and the Midlands, servicing commercial, housing and private sectors.

This is a full-time, permanent role, based in our office in Harrow, working hours are 8:30am to 17:00pm, Monday to Friday.

The Sales Support and Small Works Coordinator will provide essential support to Business Development Managers (BDMs) by assisting in the creation of sales proposals and coordinating small works projects, including remedial and repair works. The role will involve working closely with the main estimator to ensure accurate and competitive proposals are delivered in a timely manner, supporting the sales pipeline and enhancing customer satisfaction.



Key Responsibilities



Sales Support:



Assist BDMs in preparing high-quality sales proposals, quotations, and tender documentation. Ensure proposals meet client requirements, are professionally presented, and delivered on time. Maintain and update the proposal tracking system and sales pipeline reports. Coordinate meetings and communications between the sales team, clients, and internal departments.

Small Works Coordination:



Prepare and submit small works proposals for remedial and repair projects. Collaborate with the main estimator to gather relevant information for accurate pricing and project scope. Liaise with project managers and clients to schedule and monitor small works projects from proposal to completion. Ensure all small works projects comply with relevant regulations and quality standards.

Administrative Duties:



Manage documentation and records related to sales proposals and small works projects. Support the sales team in maintaining data and generating reports as required. Provide general administrative support, including scheduling meetings and handling client inquiries.

Key Skills and Competencies



Native-level fluency in written and spoken English, with the ability to draft clear, professional proposals and interpret technical documentation Strong organizational skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Strong attention to detail and accuracy in proposal creation. Ability to work collaboratively with various departments and external clients. Basic understanding of estimating processes and small works projects is advantageous.

Experience and Qualifications



Minimum 3 years previous experience in a bid coordinator, sales support, estimating, or project coordination role, preferably within [industry, e.g., construction, engineering, facilities management]. Experience working alongside estimators and sales professionals. Knowledge of small works projects, including remedial and repair works, is desirable. Relevant industry certifications or training will be considered an asset.

Timely and accurate completion of sales proposals. Conversion rate of small works proposals into secured projects. Customer satisfaction ratings related to proposal submissions and project coordination. Effective collaboration with BDMs, estimators, and project managers.
Employment Package:

30,000 per annum Full-time, permanent contract 23 days paid holiday plus Public and Bank Holidays (England) Company Pension Scheme

BS7858 Screening



All employees are subject to a security screening. This is a mandatory requirement for all individuals employed in a security environment. Employment will be subject to successful screening. All screening is carried out by a third-party vetting company.
