Small Works Coordinator

Based Derby

Hours:

40hrs (Mon-Friday)



What this job involves:



As a Small Works Coordinator at JLL, you'll serve as the vital link between our client Rolls-Royce and project execution, coordinating small-scale construction, maintenance and improvement projects across their real estate portfolio from conception to completion. This role empowers you to thrive by preparing project timelines, coordinating with internal Small Works Managers, contractors and suppliers, and ensuring seamless delivery of facility improvements and minor works. You'll be instrumental in shaping a brighter way for our prestigious client by maintaining their operational environments while building strong relationships across diverse stakeholder groups. Working within JLL's culture of collaboration, you'll partner with facilities teams, property management personnel, and external contractors to deliver innovative solutions that exceed expectations and support their critical engineering and manufacturing operations.



What your day-to-day will look like:



Responsible for the execution of end-to-end work order management, including the co-ordination of planned and reactive services, detailed control of work liaising with other JLL departments and our supply chain.

To accurately record all information necessary to resolve service requests, incidents, and complaints, including accurate classification to enable trend analysis.

To monitor, action and escalate work orders and incidents as appropriate to achieve agreed service levels and to keep customers informed of status and progress of resolution.

Serve as primary point of contact for small works requests

Communicate project status, timelines, and any issues to stakeholders

Coordinate multiple small works projects (typically under $50,000) simultaneously in conjunction with others ensuring timely completion and quality standards

Monitor project progress and ensure adherence to timelines and processes

Ensure high levels of client satisfaction throughout project delivery

Assist the Small Works Lead and Small Works Managers to deliver projects on time and in the most efficient way possible

Manage permits and regulatory approvals as required

Purchase order creation and service delivery management as directed by the project managers

Assist with the development of project schedules, quotations, and resource allocation plans as directed by the Small Works Managers and Small Works Lead

To develop and maintain a good understanding of the core Corrigo application, mobile and scheduling systems, the facilities management services provided to clients, client systems and all relevant processes and procedures.

To identify and apply opportunities to develop and improve skills, seeking assistance to acquire new skills.

Prepare and maintain detailed project documentation, including works orders, progress reports, and final completion records

Communicate regularly with Rolls-Royce stakeholders and JLL teams, providing updates on project status and addressing any concerns or modifications



Required qualifications/experience:



Experience in project coordination, construction management, administration/ work order / scheduling or facilities maintenance within the UK o Strong organisational skills o Excellent written and verbal communication skills with experience interfacing with clients and contractors o Ability to stay calm in a high paced environment o Experience in commercial real estate or property management preferred o Proficient in Microsoft Office Suite, spreadsheets and databases
