We are seeking a proactive and dedicated individual to join our team as a Sales Support Executive. In this essential role, you'll support our internal sales team and customer success functions by managing order processing, tracking deliveries, raising quotes, and providing outstanding service through email and phone. You'll be central to ensuring our customers receive a seamless, professional experience from first contact through to after-sales care.
This role is ideal for someone with strong administrative and customer service experience who enjoys working in a fast-paced, supportive environment and takes pride in getting things done accurately and efficiently.
Responsibilities
Monitor and manage the main mailbox, promptly responding to customer inquiries, order requests, quote requests.
Process customer orders accurately and efficiently, ensuring all necessary information is recorded and entered onto the system.
Raising inbound customer quote requests, agreeing pricing with Sales Team & sending to the customer within a timely manner.
Adding any quote requests as a deal on the Regional Sales Pipeline and assigning a task to the Internal Account Manager for follow up.
Setting up new customer accounts and adding new customers to our onboarding journey.
Processing all inbound sample requests from the sales team, customers or the general public.
Answer inbound calls from customers, providing professional and courteous assistance while addressing their questions, concerns, and requests.
Maintain a high level of product knowledge to effectively address customer inquiries and provide accurate information about our products and services.
Document all customer interactions, inquiries, and resolutions accurately in the CRM system.
Preparing customer price lists following inbound requests.
Managing personal task list, ensuring all daily tasks are completed on the day of assignment.
Support Head of Customer Success with any ad-hoc tasks that support the wider team and help towards the overall customer experience.
Performance Objectives
Company:
a. Contribute to the continual improvement of the sales support function
b.
Role Specific:
a. Ensure all assigned Sales Support actions received before 4:30pm are processed in the mailbox by the end of the day
b. Ensure inbound queue calls are answered within agreed waiting time limits & adhering to abandoned calls target
c. Ensure orders are processed accurately within the agreed targets
d. Manage the regional back orders ensuring that assigned region is below the agreed limits
e. Manage and oversee the personal first response time, to ensure queries & emails are handled within the agreed timeframes
What We Are Looking For
Prior experience in an administrative or sales support role, preferably within a commercial, distribution, or product-based environment
Strong organisational skills and attention to detail
Proficiency with Microsoft Office and CRM systems (HubSpot is a bonus!)
Ability to manage multiple tasks effectively and meet tight deadlines
A clear and professional telephone manner
Comfortable working collaboratively across departments
A customer-first mindset with the ability to resolve issues quickly and effectively
