-The role of the Sales Support Specialist is to provide efficient processing of the commercial transactions associated with the sale, shipping, and support of Diamond Verification Instruments and Mid-Stream Rough Sorters.



This role supports the day-to-day operations of the DVI and Midstream sales and supply chain functions. It focuses on ensuring that customer orders, spare parts, and shipments are processed efficiently and accurately. The role involves working closely with internal teams and external logistics providers to make sure goods are delivered on time and customers are kept informed throughout the process.

Key Responsibilities:

Sales Operations & Customer Service

Monitor the HubSpot CRM system and send sales quotes out in a timely manner for DVI instruments. Lead and optimize the DBUK sales order process, ensuring all relevant information is provided to support sales and customer satisfaction. Manage the Spares for machines by providing sales quotes, picking, packing, sales invoicing, and shipping. Maintain and update the Sales Tracker for DVI, Midstream Sorters, and spares. Provide proactive follow ups on sales quotes that have been sent with no response after 7 days Develop and implement customer service KPIs to monitor performance and drive continuous improvement.

Machine Licensing

Support the machine licensing processes and ensure all sales quotes and sales invoices are raised in a timely manner. Maintain accurate records of licensing agreements and renewal schedules.

Shipping & Logistics Management

Oversee global shipping operations for Instruments and Rough Sorters, including coordination with 3rd party logistics providers such as World Cargo, DHL, UPS, and FedEx. Work closely with logistics providers to maintain strong relationships and ensure smooth, efficient transactions when shipping goods. Maintain proactive communication with customers throughout the shipping process to ensure transparency and satisfaction. Develop logistics performance metrics and conduct regular reviews with providers. Implement cost-saving initiatives while maintaining service quality. Despatch of all production equipment and service spares in a timely manner. Knowledge of international shipping regulations for the countries that we sell to. Maintain Inward Processing log and prepare quarterly IPR (Inward Processing Relief) submission. Confirming shipments on CDS (Customs Declaration Service) statements monthly Monitor status of exported equipment on Carnet or any other temporary import duty exemption. Maintain the tax controls in place on a quarterly basis Creating Purchase Orders for the logistics invoices

Inventory & Procurement - Spares

Responsible for spares management, including quoting, picking, and invoicing for both midstream and downstream operations. Oversee procurement of machine packaging, ensuring optimal stock levels are maintained. Collaborate with Production to manage the Production Tracker for DVI and Midstream Rough Sorters. Implement inventory control systems for packaging to reduce waste and improve accuracy. Negotiate with suppliers to ensure best pricing and delivery terms. Conduct regular audits to ensure inventory integrity.

System & Data Management

Manage and update Microsoft Dynamics NAV, focusing on instrument and Midstream Rough Sorter sales, repairs, and customer relations. Manage and report sales data for the Commercial Team, Finance, and Operational Planning. Become the superuser for the Diamond Goods AX system, providing support and cover as needed. Develop dashboards and reporting tools to enhance data visibility and decision-making. Ensure data accuracy and integrity across all systems.

Compliance & Risk Management

Lead the global implementation and monitoring of AML risk for all DVI customers using Worldcheck-One and Dun & Bradstreet databases. Support Valpak WEEE European registrations and ensure compliance with environmental regulations. Conduct regular compliance audits and risk assessments. Stay updated on regulatory changes and ensure timely implementation. Collaborate with legal and compliance teams to address any issues.

Cross-Functional Collaboration

Foster strong working relationships with all teams in Maidenhead to ensure efficient turnaround and dispatch. Coordinate with internal stakeholders to ensure alignment on sales, support, and operational goals. Act as liaison between sales, production, and logistics to streamline operations. Support team development through mentoring and knowledge sharing.

Qualifications

-Educated to GCSE, A-Level or equivalent. Microsoft Windows knowledge together with Microsoft Office - particularly Outlook, Word and Power Point (advanced), Excel (intermediate) plus MS Picture Manager, & Adobe Reader Customer service experience. Relevant administration or appropriate experience. Self-motivated and highly organised with ability to multi-task. Excellent interpersonal and ability to communicate professionally with all levels of seniority and external audiences including customers. Uses initiative and can work autonomously, flexible in approach, able to organise and prioritise tasks with minimal supervision.
