Role purpose
The Scheduling Coordinator supports the Scheduling Manager in planning and running our training programme while providing hands?on support to the Course Operations team. Initially, the role is a 50/50 split between scheduling and course operations, with the expectation that the scheduling proportion will increase as our programme scales.
Key responsibilities
Scheduling (c.50% initially)
Build and maintain course schedules, ensuring courses are resourced and viable.
Support tutor allocation and cover, including first?line liaison with tutors and escalation to the Scheduling Manager as needed.
Assist with venue sourcing and logistics for in?person delivery; coordinate remote delivery setup when applicable.
Prepare and maintain accurate scheduling data in the CRM and spreadsheets to support planning and reporting.
Follow established processes for course changes/cancellations; make recommendations and take decisions within agreed guardrails, escalating material impacts to the Scheduling Manager.
Course operations (c.50% initially)
Coordinate end?to?end course logistics (candidate communications, materials, deliveries/collections, hotel and venue bookings, resource ordering).
Maintain strong relationships with candidates, tutors and awarding bodies to ensure a high?quality experience and compliance.
Provide responsive customer service support and day?to?day problem solving for live courses.
Keep course records up to date and accurate to support reporting and audit needs.
Collaboration
Work closely with Scheduling, Course Operations, Tutors, Customer Service and external venues/partners. Communicate clearly, manage expectations and keep stakeholders informed.
Skills, experience & attributes
As a dedicated and proactive team player, you should have at least 2 years of experience in a customer facing role
Prior coordination experience in scheduling, operations, logistics or similar; direct training/course scheduling experience is advantageous.
Excellent time management; calm under pressure; strong written and verbal communication.
Highly organised, detail?driven and comfortable managing multiple tasks to deadlines.
Tech?confident and data?accurate; able to maintain robust, accessible records.
Relationship?builder with a problem?solving, flexible mindset.
No industry?specific qualifications required, but industry related knowledge would be advantageous
