About the Role
We are looking for a detail-oriented and proactive
Scheduling Manager
to join our dynamic architectural design team. This role is central to ensuring projects are delivered on time, clients are kept informed, and all stakeholders remain accountable throughout the design journey. Key Responsibilities
Project Scheduling & Coordination
Develop and maintain project schedules across multiple architectural design projects.
Assign tasks, monitor progress, adjust timelines to meet deadlines, and forecast project completion dates.
Identify risks and proactively resolve scheduling conflicts.
Track estimated vs actual time spent variances.
Have an eye for commercials and making sure design jobs are delivered as profitably as possible.
Client Communication
Act as the primary liaison between clients and the design team.
Provide regular updates, progress reports, manage expectations and hold them accountable for their deliverables throughout the project lifecycle.
Ensure clarity and transparency in all communications.
Accountability & Leadership
Hold team members and external stakeholders accountable to agreed deliverables.
Lead scheduling meetings, track action items, and ensure follow-through.
Escalate issues promptly and propose solutions to maintain project momentum.
Tracking/monitoring utilisation (billable vs non-billable time spent)
Process Improvement
Manage and refine scheduling tools and best practices.
Drive efficiency and collaboration across teams and clients.
Provide insights to leadership on resource allocation and performance metrics.
Qualifications
Proven experience in project scheduling, coordination, or management (architecture, construction, or design industry preferred).
Strong organisational and time-management skills with keen attention to detail.
Excellent communication and interpersonal skills for managing client relationships.
Proficiency in project management software such as ClickUp.
Ability to balance multiple priorities and adapt to evolving project needs.
Demonstrated leadership in driving accountability and results.
